Power BI Artifacts

In the Power BI artifacts tab, you can view the list of your workspaces and their properties in a table view and perform the following actions:

- View and manage artifacts – Including viewing the detailed information and managing artifact settings as well as user access for semantic models and reports. See [View Artifact Details and Manage Access for Semantic models](#missing-link). - Apply sensitivity label – Apply a sensitivity label to your workspace artifacts individually or in bulk. See [Apply Sensitivity Label](#missing-link). - View refresh history – Check the refresh history of semantic models and dataflows. See [View Refresh History](#missing-link). - Report or export workspaces – Report specific workspace artifacts with emails or export them into Excel files. See [Report or Export Artifacts](#missing-link).

*Note: Due to API limitations, the following management functionalities have been disabled:

- View and manage access for Power BI reports - Send email to report users - View Power BI artifacts’ contact information

View Artifact Details and Manage Access for Semantic models

In EnPower, you can view the detailed information of your Power BI workspace artifacts, including semantic models, reports, dashboards, and dataflows, with the report table on the Power BI > Artifacts page or on the details page of each artifact.

On the artifact details page, information and manageable settings are in the following tabs:

- **Basics** – You can view the basic information of an artifact, such as the tenant, the container, and workspace that the artifact belongs to, the contacts, and the sensitivity of the artifact. - **Access** – You can view the users and groups that have direct access permissions to the artifact and update their permissions, add users, or remove users from the access list in the **Direct access** tab. Sharing links and users to whom the sharing links were sent are also listed in the **Indirect access** tab. You can remove the indirect access by deleting the corresponding sharing links. - **Activities** – You can view the audit logs of the artifact. > ***Note**: The activity details are retained in EnPower for a maximum of 6 months. Therefore, activities older than 6 months are not available in this tab.

In the report table, you can view the properties of each artifact and filter them with the table filters.

By clicking the numbers of each column related to user numbers, you can view the detailed user list and remove users from the list.

*Note: In the Guests column, after clicking the number of guest users, only guests with direct access to the artifact are listed and can be removed. Guests whose access was granted via sharing links are not included in the list.

You can refer to the following sections for the access management actions that you can operate on the semantic models/reports.

Manage the Access for Each Semantic model Individually

To manage the access, complete the following steps:

  1. Select the semantic model to manage the access for.

  2. Click Manage access on the ribbon. The Manage access panel appears, and all users who can access this semantic model/report are listed in the table.

  3. In the Action column, you can click Edit to edit the permissions that the user has. You can also click Remove to remove the user from the access list.

  4. To add users to the access list, click Add user. In the Settings section, you can select what permissions to grant to the users. Then you can specify users to add to the access list. Click Grant access to add the users or click Discard to discard your changes.

Manage Access for Multiple Semantic models in Bulk

To bulk edit semantic models, complete the following steps:

  1. Select the semantic models to manage in bulk. The semantic models/reports must be in the same tenant and be artifacts of the same type.

  2. Click Bulk edit on the ribbon.

  3. In the Bulk edit panel, select Artifact access on the left pane. Then click Manage access on the right pane for the detailed configurations.

  4. Select the bulk operation to perform, and you can add specific users to the semantic models, remove specific users from the semantic models/reports, or replace all users in the access list of the semantic models with specific users.

  5. Click Update to save the changes or click Discard to discard the changes.

Remove Guest Users

To remove all guest users’ access to semantic models, complete the following steps:

  1. Select the semantic models.

  2. Click Remove guest users on the ribbon. The Remove guest users confirmation window appears.

  3. Click Remove.

*Note: Users with workspace permission cannot be removed from semantic models or reports.

Apply Sensitivity Label

To apply a sensitivity label to your workspace artifacts, complete the following steps:

  1. On the Power BI > Artifacts page, select the artifacts you want to apply the sensitivity label to. You can only bulk apply sensitivity labels to artifacts in the same tenant.

  2. Click Apply sensitivity label on the ribbon.

  3. In the Apply sensitivity label panel, select the label to apply to the workspaces.

  4. Click Apply.

View Refresh History

To view the refresh history of semantic models and dataflows, complete the following steps:

  1. In the Refresh history column, click the number or View details. If you cannot find the column, click Manage columns above the table and enable Refresh history under Advanced settings.

  2. In the Refresh history panel, a maximum of 10 records are displayed.

Report or Export Artifacts

With EnPower, you can filter artifacts in specific conditions and report them by sending an email notification or exporting them into Excel files for further processing. Refer to the following sections for more details.

Send Emails

To send an email that contains information on specific artifacts for report purposes, complete the following steps:

  1. Filter the artifacts based on your demands and select the filtered artifacts to include in the email. You can send emails of semantic model and dashboards currently in EnPower.

  2. Click Send email.

  3. In the Send email panel, select the email template to use. You can click Preview to view the template details.

  4. Select the recipients of the email. You can select Semantic model/Dashboard users that refers to the users who have access to the artifacts.

  5. Click Send. The process will start to send the email.

Export Artifacts

To export artifacts into an Excel file, complete the following steps:

  1. Click Export and select fields to include in the ZIP file. You can select from Current fields and All fields.

    • If you select current fields, only columns and artifacts shown in the table on the page will be exported. To configure the fields to show, you can manage the columns and configure the filter. See Get Familiar with the EnPower Interface.

      After clicking Current fields, the process will start to export the report.

    • If you select All fields, the process will start to export the report.

  2. Click process center in the popup window or click View all in the Process center (Icon: Process center) window to navigate to the Process center.

  3. After the process is finished, click the Download (Button: Download) button to download your exported report.
