Export to PDFTo evaluate OneDrive risks and sensitivity, and to enable corresponding actions, EnPower, along with AvePoint Insights and Cloud Governance, offers OneDrive assessment and renewal management functionalities.
Once you enable assessment for a OneDrive, it will be registered in Insights and imported into Cloud Governance for further actions, including review and renewal via MyHub. Therefore, a Cloud Governance subscription is required. If you would like to subscribe to Cloud Governance, contact your AvePoint account manager. For more information on Cloud Governance, refer to the Cloud Governance Administrator Guide.
For details on checking the risky items and perform renewal in MyHub, refer to Renew OneDrive. For details on the data sensitivity and exposure levels analyzed by AvePoint Insights, refer to Risk Definition Administration.
To enable assessment, complete the following steps:
Select a OneDrive whose assessment status is Disabled or Failed.
Click Enable assessment on the ribbon.
In the confirmation window, click Enable.
MyHub users will only be able to check the assessed data when renewal profile has been applied to the OneDrive. For details on renewal profile assignment, refer to Renew OneDrive.
You can check the assessment enabling and renewal profile assignment jobs’ statuses in Process Center.
To disable assessment, complete the following steps:
Select a OneDrive whose assessment status is Enabled or Processing.
Click Disable assessment on the ribbon.
In the confirmation window, click Disable. Once the process finishes, the assessment in AvePoint Insights will be stopped as well.
OneDrive renewal allows users to periodically review and update contacts, permissions, and metadata in a single task. In EnPower, you can apply the renewal profiles you have created in AvePoint Cloud Governance to your OneDrive, restart the renewal process, and perform auto-completion of renewal tasks. Refer to the following sections for more details.
To apply renewal profile to a OneDrive, complete the following steps:
Select the OneDrive to apply the renewal profile to.
Click Apply renewal profile on the ribbon.
In the Apply renewal profile panel, select the renewal profile you want to apply. For details on creating renewal profiles in Cloud Governance, refer to Configure OneDrive Renewal Profiles.
Select how you want to handle OneDrive that have ongoing renewal tasks from one of the following actions:
Do not apply the new profile to these OneDrive – Select this option to skip all OneDrive that have ongoing tasks.
Cancel ongoing renewal tasks, escalation tasks, and apply the new profile – Select this option to cancel all the ongoing tasks before the new profile is applied. If selected, you can also select a checkbox to Send a cancellation email to the task assignees and select the email template to use.
Click Save to update the changes.
To restart the renewal process of a OneDrive, complete the following steps:
Select the OneDrive to restart the renewal process for.
In the confirmation window, select whether to Send a cancellation email to the task assignees. If to send, select the email template to use.
Click Apply. The process will start to restart the renewal process.
To manually complete the renewal process of OneDrive by auto-complete, follow the steps below:
Select one or more OneDrive.
Click Auto-complete renewal on the ribbon.
The Auto-complete renewal window appears, providing two-phase statuses. When the renewal process is completed, the phase will be changed upon your selection. You can select:
In compliance
Renewal canceled
If one or more selected OneDrive have renewal tasks, you can choose to send a cancellation email to the task assignees and select the email template to use.
Click Save.
To view all renewal audits and profile changing history, click the name of an OneDrive to go to the OneDrive details page. In the Governance details tab, all changing history and predicted changes are listed in the Timeline section.
You can filter certain action logs by using the Action type and Date range filters above the table.
To export the timeline of OneDrive, complete the following steps:
On the OneDrive page, select the agents whose timeline you want to export.
Click Export selected objects and then click Export timeline.
On the Export renewal timeline panel, select the time range within which the records will be exported.
Click Export. A process will start to export the report. You can then download the report in Process center.
