Export to PDFThe Workspaces report gathers Groups, SharePoint Online Group team sites, other SharePoint sites, and Teams across your tenants to form an integrated page for you to generally monitor and manage these workspaces.
The report provides the following information:
Basics – The basic properties of a workspace, from their display names, tenants, to their statuses in Microsoft 365.
Membership – The number of owners and members in the workspaces. By clicking the number, you can view the detailed list.
Activities – The storage used by the workspace, the latest dates when there was activity in the workspaces, and number of activities in the workspaces in past periods.
Governance details – If you have Cloud Governance subscription, contacts, renewal related information, and metadata are displayed.
Refer to the following sections for available management operations for each workspace type.
For Groups, the following operations are available:
Check Group details – To access the detailed properties, permissions, and settings of a Group, click the Group name and you will be redirected to the Group details page.
Delete Groups – Select one or more Groups and click Delete to delete them from your tenants. Deleted Groups can then be accessed and recovered in the End of Life Report of Groups.
Manage permissions – Select a Group and click Manage permissions, you will be redirected to the Group details > Owners tab, where are all Group owners are listed. You can then add users to or remove users from the list.
To manage group member, click Members tab on the Group details page. This tab provides the list of members in this Group as well as member adding and removal capabilities.
Cloud Governance integrated lifecycle management – If you have a Cloud Governance subscription and the Group has been imported to Cloud Governance, the following operations are available:
Apply renewal profile – Select a Group and then click Apply renewal profile to apply a renewal profile created in Cloud Governance to the Group.
Restart renewal – When a Group is in the renewal process for a while and you want to restart the process, select the Group and click Restart renewal.
Specify contacts – To specify primary and secondary contacts who monitor the lifecycle management tasks and renewal of the Group, select the Group and click Specify contacts.
Assign renewal tasks – To update the Group’s renewal task assignee, select the Group and click Assign renewal task.
Remove from Cloud Governance – If the group is not a Microsoft 365 Group, select it and click Remove from Cloud Governance to deregister it from Cloud Governance.
Edit metadata – To apply Cloud Governance metadata applied to the Group or edit the applied metadata values, select the Group and click Edit metadata.
Apply contact election profile – Select a Group and then click Apply contact election profile to apply an election profile created in Cloud Governance to the Group.
For SharePoint Online sites, the following operations are available:
Check site details – To access the detailed properties, permissions, and settings of a site, click the site name and you will be redirected to the Site details page.
Delete sites – Select one or more sites and click Delete to delete them from your tenants. Deleted sites can then be accessed and permanently deleted in the End of Life Report of sites.
Manage permissions – Select a site and click Manage permissions, you will be redirected to the Site details > Permissions tab, where are all site admins, owners, members, and visitors are available for management.
Archive and reactivate sites – To archive a site, select it and click Archive. To reactivate an archived site, select it and click Reactivate.
Cloud Governance integrated lifecycle management – For SharePoint sites other than Group team sites, if you have a Cloud Governance subscription and the site has been imported to Cloud Governance, the following operations are available:
Apply renewal profile – Select a site and then click Apply renewal profile to apply a renewal profile created in Cloud Governance to the site.
Restart renewal – When a site is in the renewal process for a while and you want to restart the process, select the site and click Restart renewal.
Specify contacts – To specify primary and secondary contacts who monitor the lifecycle management tasks and renewal of the site, select the site and click Specify contacts.

For Microsoft Teams, the following operations are available:
Check Team details – To access the detailed properties, permissions, and settings of a Team, click the Team name and you will be redirected to the Team details page.
Delete Teams – Select one or more Teams and click Delete to delete them from your tenants. Deleted Teams can then be checked in the End of Life Report of Teams.
Manage permissions – Select a Team and click Manage permissions, you will be redirected to the Team details > Members tab, where are all Team members and owners are available for management.
Cloud Governance integrated lifecycle management – If you have a Cloud Governance subscription and the Team has been imported to Cloud Governance, the following operations are available:
