Create a User

On the User management > Users page, you can create users of different types.

Create a Cloud User

Refer to the following steps to create a cloud user:

  1. Under the Users / All users tab, click Create > Create cloud user to open the Create cloud user page.

  2. In the Basic information step, complete the following information:

    • First name – The first name of the user.

    • Middle name – The middle name of the user.

    • Last name – The last name of the user.

    • Company name – Enter the company name.

    • Location – Select the location of the user. If there is no desired location, click Create to create a new location.

    • Display name – The display name of the user.

    • Employee ID – The employee ID of the user.

    • Automatically generate a password – If you select the checkbox, Elements will randomly generate a password for this user. If you want to set a custom password, leave the checkbox unselected, enter the desired password, and repeat the password to confirm it.

    • Require user to change password at the first sign-in – If you want the user to change the password at their first sign-in, select the checkbox.

  3. Click Next.

  4. In the Employee step, complete the following information:

    • Domain – Select a domain for the user.

    • Start date – Set the date when the user account can sign-in to Microsoft 365. If the license assignment effective date is globally configured for tenants, the effective date will appear. You can also modify the date by selecting a new date from the calendar.

    • End date – Set the date when the user account will be blocked from signing in.

    • Job title – Select the job title of the user. If there is no desired job title, click Create to create a new job title.

    • Department – Select the department of the user. If there is no desired department, click Create to create a new department.

    • Usage location – Select the usage location of the user.

    • Country or region – Select the country or region of the user.

    • Preferred language – Select the preferred language for the user.

    • Manager – Enter the manager’s name.

  5. Click Next.

  6. In the Mail step, enter the user principal name.

  7. Click Next.

  8. In the Contact information step, complete the following information:

    • Alternate email address

    • Mobile phone

    • Business phone

  9. Click Next.

  10. In the Assign roles step, select the functional roles you want to assign to the user. Note that some roles require specific licenses and cannot be assigned if a user lacks them during creation.

  11. Click Next.

  12. In the Assign groups step, groups within the selected tenant are categorized by type. Select the groups you want to assign to the users created with this template.

    • Security group

    • Microsoft 365 Group

    • Mail-enabled group

    • Distribution group

  13. Click Next.

  14. In the Assign licenses step, select the product licenses you want to assign to the user, and specify the date for license assignment. If the default number of days before start date to assign licenses has been defined on the Tenant settings > Settings > Basics page, the calculated license assignment date will be displayed. Alternatively, you can select a custom date for assigning these licenses.

    Note the following:

    • If there are no available licenses and the tenant is not connected to a marketplace, license assignment will be unavailable.

    • If the tenant is connected to a marketplace, license assignment remains available even when there are no available units. After selecting it, a license request will be automatically created. For detailed instructions on connecting a tenant to a marketplace, refer to Marketplace.

  15. Click Next.

  16. In the Assign devices step, select a laptop device that you want to assign to the user.

  17. Click Next.

  18. In the Review step, you can verify all entered information and edit information if needed. If no more updates are needed, click Create to create the user.

Create a Cloud User with Template

Refer to the following steps to create a cloud user with a template:

  1. Under the Users / All users tab, click Create > Create cloud user with template.

  2. In the Basic information section, complete the following information:

    • Select a template – Select a template.

    • First name – The first name of the user.

    • Middle name – The middle name of the user.

    • Last name – The last name of the user.

    • Company name – Enter the company name.

    • Location – Select the location of the user. If there is no desired location, click Create to create a new location.

    • Display name – The display name of the user.

    • Employee ID – The employee ID of the user.

    • Automatically generate a password – If you select the checkbox, Elements will randomly generate a password for this user. If you want to set a custom password, leave the checkbox unselected, enter the desired password, and repeat the password to confirm it.

    • Require user to change password at the first sign-in – If you want the user to change the password at their first sign-in, select the checkbox.

  3. Click Next.

  4. In the Employee step, complete the following information:

    • Domain – Select a domain for the user.

    • Start date – Set the date when the user account can sign-in to Microsoft 365.

    • End date – Set the date when the user account will be blocked from signing in.

    • Job title – Select the job title of the user. If there is no desired job title, click Create to create a new job title.

    • Department – Select the department of the user. If there is no desired department, click Create to create a new department.

    • Usage location – Select the usage location of the user.

    • Country or region – Select the country or region of the user.

    • Preferred language – Select the preferred language for the user.

    • Manager – Enter the manager’s name.

  5. Click Next.

  6. In the Mail step, enter the user principal name.

  7. Click Next.

  8. In the Contact information step, complete the following information:

    • Alternate email address

    • Mobile phone

    • Business phone

  9. In the Assign roles steps, if functional roles have been specified in the template, the assigned roles will be selected. You can modify the functional roles to be assigned to this user. Note that some roles require specific licenses and cannot be assigned if a user lacks them during creation.

  10. In the Assign groups steps, if groups have been specified in the template, the assigned groups will be selected. You can modify the groups to be assigned to this user.

  11. In the Assign licenses steps, if licenses have been specified in the template, the assigned licenses will be selected. You can modify the licenses to be assigned to this user and update the license assignment date.

  12. In the Assign devices step, select a laptop device that you want to assign to the user.

  13. In the Review step, you can verify all entered information and edit information if needed. If no more updates are needed, click Create to create the user.

Create a Local User

For a hybrid tenant, you have the option to create local users. Refer to the following steps to create a local user:

  1. Under the Users / All users tab, click Create > Create local user to open the Create local user page.

  2. In the Basic information step, complete the following information:

    • First name – The first name of the user.

    • Middle name – The middle name of the user.

    • Last name – The last name of the user.

    • Location – Select the location of the user. If there is no desired location, click Create to create a new location.

    • Company/Organization – Select the company/organization from the drop-down list.

    • Display name – The display name of the user.

    • Employee ID – The employee ID of the user.

    • Automatically generate a password – If you select the checkbox, Elements will randomly generate a password for this user. If you want to set a custom password, leave the checkbox unselected, enter the desired password, and repeat the password to confirm it.

    • Require user to change password at the first sign-in – If you want the user to change the password at their first sign-in, select the checkbox.

  3. Click Next.

  16. If no more updates are needed, click Create to create the local user.

Create a Guest User

Refer to the following steps to create a guest user:

  1. Under the Guest users / All users tab, click Create > Create guest user to open the Create guest user window.

  2. In the Basic information step, complete the following information:

    • First name – The first name of the guest user.

    • Last name – The last name of the guest user.

    • Email address – The email address of the guest user.

    • Usage location – The usage location of the guest user.

    • Set access period – To ensure that guest access is limited to the necessary timeframe, you can set a date range during which the guest user account remains active. Turn on the toggle and configure a date range. The guest user account will be automatically blocked from signing in once the end date is reached.

  3. Click Next.

  4. In the Assign roles step, if functional roles have been specified in the template, the assigned roles will be selected. You can modify the functional roles to be assigned to this guest user.

  5. Click Next.

  6. In the System settings step, complete the following information:

    • Display name – If a custom display name format for guest users has been defined on the Tenant settings > Entra ID settings page, the display name will follow the pre-defined format. You can modify the display name for this guest user.

    • Send invitation email – If this setting has been enabled in the template, the toggle will be turned on by default. You can turn off the toggle.

    • Send custom message – If this setting has been enabled in the template, the toggle will be turned on by default, and the custom message and Cc recipient will be loaded. You can turn off the toggle.

      If you have chosen to send an invitation email and want to include a custom message, turn on the toggle and enter the custom message. You can also send a copy of the email to another user by entering the email address in the Cc recipient text box.

  7. Click Next.

  8. In the Review step, you can verify all entered information and edit information if needed. If no more updates are needed, click Create to create the guest user.

Create a Guest User with Template

Refer to the following steps to create a guest user with a template:

  1. Under the Guest users / All users tab, click Create > Create guest user with template.

  2. In the Basic information section, complete the following information:

    • Select a template – Select a guest user template to use.

    • First name – The first name of the guest user.

    • Last name – The last name of the guest user.

    • Email address – The email address of the guest user.

    • Usage location – If a usage location has been specified in the template, the specified usage location will be displayed. You can modify the usage location for this guest user.

    • Set access period – If access period has been enabled in the template, the configured start date and end date will be displayed. You can modify the date range or disable this setting.

      To ensure that guest access is limited to the necessary timeframe, it is recommended that you set a date range during which the guest user account remains active. Turn on the toggle and configure a date range. The guest user account will be automatically blocked from signing in once the end date is reached.

  3. Click Next.

  4. In the Assign roles steps, if functional roles have been specified in the template, the assigned roles will be selected. You can modify the functional roles to be assigned to this guest user.

  5. Click Next.

  6. In the System settings step, complete the following information:

    • Display name – If a custom display name format for guest users has been defined on the Tenant settings > Entra ID settings page, the display name will follow the pre-defined format. You can modify the display name for this guest user.

    • Send invitation email – If this setting has been enabled in the template, the toggle will be turned on by default. You can turn off the toggle.

    • Send custom message – If this setting has been enabled in the template, the toggle will be turned on by default, and the custom message and Cc recipient will be loaded. You can turn off the toggle.

      If you have chosen to send an invitation email and want to include a custom message, turn on the toggle and enter the custom message. You can also send a copy of the email to another user by entering the email address in the Cc recipient text box.

  7. Click Next.

  8. In the Review step, you can verify all entered information and edit information if needed. If no more updates are needed, click Create to create the guest user.

Create an External User

To create an external user, navigate to the External users / All users tab. For hybrid tenants, click Create and then choose between creating a cloud external user or a local external user. For cloud tenants, only the option to create a cloud external user is available.

Refer to the following steps to create an external user:

  1. In the Basic information step, complete the following information:

    • First name – The first name of the user.

    • Middle name – The middle name of the user.

    • Last name – The last name of the user.

    • Company name / Company/Organization – For the cloud external user, enter the company name; for the local external user, select the company/organization from the drop-down list.

    • Location – Select the location of the user. If there is no desired location, click Create to create a new location.

    • Display name – The display name of the user.

    • Employee ID – The employee ID of the user.

    • Automatically generate a password – If you select the checkbox, Elements will randomly generate a password for this user. If you want to set a custom password, leave the checkbox unselected, enter the desired password, and repeat the password to confirm it.

    • Require user to change password at the first sign-in – If you want the user to change the password at their first sign-in, select the checkbox.

  2. Click Next.

  3. In the Employee step, complete the following information:

Create a Service Account

To create a service account, navigate to the Service accounts / All users tab. For hybrid tenants, click Create and then choose between creating a cloud service account or a local service account. For cloud tenants, only the option to create a cloud service account is available.

Refer to the following steps to create a service account:

  1. In the Basic information step, complete the following information:

    • First name – The first name of the user.

    • Middle name – The middle name of the user.

    • Last name – The last name of the user.

    • Company/Organization – For the local service account, select the company/organization from the drop-down list.

    • Display name – The display name of the user.

    • Automatically generate a password – If you select the checkbox, Elements will randomly generate a password for this user. If you want to set a custom password, leave the checkbox unselected, enter the desired password, and repeat the password to confirm it.

    • Domain – Select a domain for the user.

  2. Click Next.

  3. In the Assign roles step, select the functional roles you want to assign to the user. Note that some roles require specific licenses and cannot be assigned if a user lacks them during creation.

  4. In the Assign groups step, groups within the selected tenant are categorized by type. Select the groups you want to assign to the users created with this template.
