Export to PDFOn the User management page, there is a User type templates card, displaying the number of created user type templates. By clicking View details, you will be redirected to the User type templates page where you can manage user type templates.
A user type template provides a set of predefined user properties, making it easier and faster to create users and guest users who share similar properties. When using templates to create users or guest users, you can customize these properties as needed.
On the User type templates page, the existing user type templates are listed in the table. You can select a user type template and click Edit to edit settings, or select one or multiple templates and click Delete to delete them.
You can find the following template details: template name, description, applicable tenant, number of users created with the template, type (user type template & guest user template), template creator’s name, and template’s last modified time.
Refer to the following steps to create a user type template:
On the User type templates page, click Create template > Create user type template in the upper-right corner. The Create user type template page appears.
In the Basic information step, complete the following information:
Template name – Enter a name for this template.
Description – Enter an optional description for future reference.
Select a tenant – Select a Microsoft 365 tenant where this template is applicable.
Click Next.
In the Employee step, complete the following information:
Domain – Select a domain for users created with this template.
Job title – Select a job title for users created with this template. If there is no desired job title, click Create to create a new job title.
Department – Select a department for users created with this template. If there is no desired department, click Create to create a new department.
Location – Select the location for users created with this template. If there is no desired location, click Create to create a new location.
Company name – Enter the department for users created with this template.
Usage location – Select the usage location for users created with this template.
Country or region – Select the country or region of the user.
Preferred language – Select the preferred language for the user.
Manager – Enter the department for users created with this template.
Click Next.
In the Assign roles step, select the functional roles you want to assign to the users created with this template. Note that some roles require specific licenses and cannot be assigned if a user lacks them during creation.
Click Next.
In the Assign groups step, groups within the selected tenant are categorized by type. Select the groups you want to assign to the users created with this template.
Security group
Microsoft 365 Group
Mail-enabled group
Distribution group
Click Next.
In the Assign licenses step, product licenses within the selected tenant are displayed. Select the product licenses you want to assign to the users created with this template.
Click Next.
In the Offboarding settings step, you can configure actions to be taken when users created with this template are deleted.
Grace period – Choose whether to delete the user immediately or after a specified number of days.
Removal options – Choose to automatically remove the user from groups, devices, functional roles, and unassign licenses upon deletion.
Mailbox settings – Manage the deleted user’s mailbox by converting it to a shared mailbox, setting up forwarding to another user, enabling automatic replies, and hiding it from address list upon deletion.
In the Extension attributes step, you can add up to 15 custom attributes.
Click Next.
In the Preview step, you can preview the configured information. Click the pencil button next to a section if you want to update the corresponding information.
Click Create.
Refer to the following steps to create a guest user template:
On the User type templates page, click Create template > Create guest user template in the upper-right corner. The Create guest user template page appears.
In the Basic information step, complete the following information:
Template name – Enter a name for this template.
Description – Enter an optional description for future reference.
Select a tenant – Select a Microsoft 365 tenant where this template is applicable.
Usage location – Select a usage location from the drop-down list.
Click Next.
In the Assign roles step, select the functional roles you want to assign to the guest users created with this template. Note that some roles require specific licenses and cannot be assigned if a user lacks them during creation.
Click Next.
In the Additional settings step, complete the following optional information:
Send invitation email – If you want to send an invitation email to the guest users created with this template, turn on the toggle.
Send custom message – If you have chosen to send an invitation email and want to include a custom message, turn on the toggle and enter the custom message. You can also send a copy of the email to another user by entering the email address in the Cc recipient text box.
Click Create.
