Manage Shared Folders

When you click a tenant name on the User management page, you switch to the tenant level. On the User management > Shared folders page of a specific tenant, you can view and manage all shared folders in the tenant.

The Shared folders section provides a dedicated area for managing on-premises file shares. You can review directory paths, monitor administrator and user groups, and examine member permissions to maintain visibility and control over your hybrid file infrastructure.

NOTE

Shared folders are only supported in hybrid tenants. If the current tenant is not a hybrid tenant, the Shared folders page will not be displayed.

Create a Shared Folder

Refer to the following steps to create a shared folder:

  1. Click Create above the shared folder table to open the Create shared folder window.

  2. Display name – Enter a display name for the shared folder. The display name is a user-friendly name that helps you identify the shared folder in the list.

  3. Description – Enter a description for the shared folder. The description provides additional information about the shared folder's purpose or contents.

  4. Domain – Select the domain for the shared folder. The domain is the network domain where the shared folder is located.

  5. Physical root path – Enter the physical root path for the shared folder. The physical root path is the actual location on the file system where the shared folder's data is stored.

  6. Access control groups OU – Enter the organizational unit (OU) for the access control groups. The OU specifies the location of the groups within the domain.

  7. Administrators group SAM-Account-Name – Enter the SAM-Account-Name for the administrators group. The SAM-Account-Name is the unique identifier for the group in the domain.

  8. Standard users group SAM-Account-Name – Enter the SAM-Account-Name for the standard users group. The SAM-Account-Name is the unique identifier for the group in the domain.

  9. Click Create.

View and Edit a Shared Folder

To view the details of a shared folder, click the shared folder name to go the Shared folder details page. Information and manageable settings are displayed in tabs:

  • Top-level directories – The top-level directories under the shared folder. You can view and edit the directory, create directories, delete directories, and export directories.

  • Basics – Basic information of the shared folder.

  • All directories – All directories under the shared folder. You can view and edit the directory, create directories, delete directories, and export directories.

  • Audit logs – In this tab, you can view all action records performed to the current shared folder. You can click Refresh to view the latest audit logs.

Create a Directory

To create a directory under a shared folder, click Create > Create directory in the Top-level directories tab or click Create in the All directories tab. In the pop-up window, enter the directory name and choose whether to allow users to create directories under this directory. Then click Create to create the directory.

Crete a Directory with Structure

To create a directory with structure, click Create > Create directory with structure in the Top-level directories tab. In the pop-up window, select the directory to clone structure from, enter the directory name, and choose whether to allow users to create directories under this directory. Then click Create to create the directory.

View and Manage a Directory

To view the details of a directory, click the directory name to go the Directory details page. Information and manageable settings are displayed in tabs:

  • Directories – Directories under the selected directory. You can view and edit the directory, create directories, delete directories, and export directories.

    To create a directory under the current directory, click Create. In the pop-up window, enter the directory name and choose whether to allow users to create directories under this directory. Then click Create to create the directory.

    To delete a directory, select the directory you want to delete, and then click Delete. In the pop-up confirmation window, click Delete to confirm the deletion.

    To export directories, click Export above the directory table. Select a file format (.xlsx or .csv) and then click Export. A process will start to export the report. Navigate to Process center to view the process and download the report.

  • Basics – Basic information of the directory.

  • Members – Users in the domain. You can view user information, assign Read or Read & Write permissions for the directory to users, and export users.

    To assign permissions for this directory to a user, turn on the toggle of the permission in the user record. Click Apply changes to apply changes.

    To export users, click Export above the user table. Choose to export the visible columns or all columns, select a file format (.xlsx or .csv), and then click Export. A process will start to export the report. Navigate to Process center to view the process and download the report.

  • Functional roles – Functional roles in the tenant. You can view functional role information, assign Read or Read & Write permissions for the directory to functional roles, and export functional roles.

    To assign permissions for this directory to a functional role, turn on the toggle of the permission in the functional role record. Click Apply changes to apply changes.

    To export functional roles, click Export above the functional role table. Choose to export the visible columns or all columns, select a file format (.xlsx or .csv), and then click Export. A process will start to export the report. Navigate to Process center to view the process and download the report.

  • Audit logs – In this tab, you can view all action records performed to the current directory. You can click Refresh to view the latest audit logs.

Delete Shared Folders

To delete one or multiple shared folders, select the shared folders you want to delete, and then click Delete. In the pop-up confirmation window, click Delete to confirm the deletion.

Export Shared Folders

To export shared folders, click Export above the shared folder table. Choose to export the visible columns or all columns, select a file format (.xlsx or .csv), and then click Export. A process will start to export the report. Navigate to Process center to view the process and download the report.
