Refer to the following steps to discover and analyze content in SharePoint Online and OneDrive:
Preparations
Storage locations – If you want to archive the content to an archival storage, you need to configure storage locations to store the archived content. For detailed instructions, refer to Manage Your Storage.
Job notifications – If you want to regularly monitor specific jobs, you need to create job notifications to specify the jobs and their statuses you want to monitor. For detailed instructions, refer to Configure Job Notifications.
Start analysis – You need to select the data scope and create rules to start an analysis of your content. For detailed instructions, refer to Start Analysis.
View reports – When the analysis completes, you can view the inactive data report and ROT data report. For detailed instructions, refer to Inactive Data Report and ROT Data Report.
Optimize data – After viewing the reports, you can archive or destroy the inactive data and ROT data. You can also export the data into CSV files for seamless sharing, archiving, or offline review. For detailed instructions, refer to Inactive Data Report and ROT Data Report.
Track optimization progress – You can track your optimization progress. For detailed instructions, refer to View Optimization Progress.
