Explorer
Explorer is a place where you can view detailed information about physical content. On this page, records managers can create and manage physical content, and end users can submit requests to retrieve the physical content they need.
On the left pane, switch to the Terms tab to view the physical content classified by specific terms, or switch to the Locations tab to view the physical content stored in specific locations. The Legend icon displays the icons of physical records in different statuses.
With the Terms tab displayed on the left pane, the following reports will be displayed on the right pane:
- As a records manager, you will see:
- **Summary** – Displays the number of terms, the number of loan requests, the number of destruction requests, as well as the overdue loan requests.
- **Top 5** **most** **used** **terms** – Displays the top 5 most used terms in physical records management.
- **Requests** – Displays the number of the submitted creation requests and loan requests, including the awaiting approval, approved, and rejected requests.
- As an end user, you will see:
- **My** **records on** **loan** – Displays the number of boxes/folders that are currently loaded out to you, and the number of overdue boxes/folders.
- **Requests** – Displays the number of creation requests and loan requests that you have submitted, including the awaiting approval, approved, and rejected requests.
With the Locations tab displayed on the left pane, the following reports will be displayed on the right pane:
- As a records manager, you will see:
- **Summary** – Displays the number of locations, the number of loan requests, the number of destruction requests, as well as the number of overdue loan requests.
- **Top 5** **locations with** **the** **most** **records** – Displays the top 5 locations with the most records.
- **Requests** – Displays the number of the submitted creation requests and loan requests, including the awaiting approval, approved, and rejected requests.
- As an end user, you will see the following:
- **My** **records on** **loan** – Displays the number of boxes/folders that are currently loaded out to you, and the number of overdue boxes/folders.
- **Requests** – Displays the number of creation requests and loan requests that you have submitted, including the awaiting approval, approved, and rejected requests.
An Update Explorer job starts any time between 10 p.m. to 4 a.m. each day to check the updates on terms/rules applied to a physical record and synchronize the updates to the Explorer page.
