About AvePoint Opus

AvePoint Opus is an online information lifecycle solution that supports organizations in managing their content stored in various repositories such as Microsoft 365, Azure File System, on-premises content - Windows File System content and SharePoint On-Premises content (SharePoint 2013, 2016, 2019, and Subscription Edition), and physical records. Now with added support for Box and Google Drive (Preview) as content sources, AvePoint Opus extends its capabilities even further. Additionally, the connector framework allows integration with other business systems, ensuring a seamless and efficient content management experience. Organizations can achieve cost savings with storage optimization or can run full lifecycle programs across content, wherever that content lives.

AvePoint Opus allows an organization to configure and manage rules that can be applied to content via an intuitive classification scheme using advanced AI and machine learning algorithms or directly to workspaces, meaning information lifecycle outcomes can be conducted with little to no end-user impact.

*Note: AvePoint Opus cannot manage Microsoft 365 data in the following situations:

- Content protected by a retention policy or label. To manage this data, please remove or disable the retention policy or label first. - Files with extensions such as .aspx, .js, and .css - System libraries, including Site Pages, Site Assets, and Style Library - Data stored within locked sites - Items located in the Recycle Bin

*Note: Following Microsoft’s announcement regarding the end of support for Microsoft Edge Legacy and IE 11, AvePoint has ended support for Microsoft Edge Legacy (on March 9, 2021) and IE 11 (on August 17, 2021) accordingly.

Supported Languages

AvePoint Opus is available in English, French, Japanese, Korean, and Chinese. The display language automatically matches your browser's default language if it is one of the supported options. If your browser is set to an unsupported language, AvePoint Opus will display in English. Please note that all email notifications from AvePoint Opus are sent in English.

Data Encryption Methods

Data encryption can be divided into two scenarios: data transmission (data in transit) encryption and data storage (data at rest) encryption.

For data transmission encryption, AvePoint Opus is deployed on the Microsoft Azure framework to make outbound Microsoft API calls and internal communications over HTTPS/TLS 1.2/1.3 encrypted channels. Certificate-based authentication is used for internal communications.

For data storage encryption, AvePoint Opus encrypts all the Microsoft 365 data obtained by calling Microsoft APIs with AES 256 using keys unique to each tenant. The encryption happens before the data is transmitted to storage.

When transmitting the encrypted data to storage, the data transmission encryption differs upon the target storage’s available protocols. For example, Microsoft Azure Blob Storage, Amazon S3, and SFTP have their own data transmission encryption algorithm or protocols applied; but for FTP, the data transfer protocol is not encrypted. Although the data being transferred is already encrypted with AES 256, as mentioned above, AvePoint recommends using storage types other than FTP that support encrypted protocols.

Integration with AVA

AvePoint Opus offers integration with Ava, an AvePoint virtual assistant that offers instructions and answers to your questions. If you have any product-related inquiries, Ava is readily available to assist you. You can click the Ask Ava button in the upper-right corner and try to chat with AVA and get some instructions.

Integration with MyHub

AvePoint Opus offers integration with MyHub to streamline the record review and approval process. When records are awaiting approval, record reviewers can efficiently manage these tasks by accessing MyHub and navigating to Tasks & to-dos > Items waiting for disposal approval to approve or reject the records. Recovery Portal for End Users - ReCenter

You can deploy our ReCenter portal, a data recovery center that allows users to search and restore their archived content. You can find ReCenter through the AvePoint Online Services > All services view. For quick access, AvePoint recommends adding this portal as a custom tile to your organization’s Microsoft 365 app launcher. Before users can use this portal, your service administrator must complete a few necessary configurations. For details, refer to the ReCenter User Guide.

Use Case Want to Classify Existing Content in Specific Sites?

EventEvent: Ann, a records manager, wants to classify thousands of documents that exist in different team sites with different categories. Each team site has many libraries containing documents that need to be classified, and each library needs its own category for classification.
ProblemProblem: Using SharePoint Online native functionality, Ann would have to go to each library and manually create the category column and assign a column value for each document in the library, which would be a very time-consuming task.
ResolutionResolution: Ann logs into AvePoint Opus and creates the terms that will be used to categorize or classify documents in different libraries within the same interface using the Term Management feature, and she can then synchronize those terms to SharePoint Online. Ann can create columns in all libraries and set terms as default column values within the same interface using the Content Sources Management feature without having to navigate through SharePoint Online libraries. By selecting the Apply to existing documents checkbox, all existing documents will be automatically classified using the default column values.

Use Case Want to Move Content to a New Location Using Specific Rules?

EventEvent: A large project at the company has just reached end of life, and the content is now ready to be moved to the archive. Ann, the company records manager, wants to transfer these files to a location where they can be preserved but not take up space in the site where active project information is stored.
ProblemProblem: Using SharePoint Online native functionality, Ann would have to go to each team site to manually check the documents that needed to be moved to the new location and then manually perform the move to the new location, which is a very time-consuming task.
ResolutionResolution: Ann logs into AvePoint Opus and creates a rule that will identify the project documentation and selects the Move content to a new location action. Ann can then run an Enforce Rule Actions job against the project site, and the identified documents will be automatically moved to the new location, leaving only active content on the project site.

Use Case Want to Review Content that Has Been Classified Using a Specific Term?

EventEvent: Ann, the company’s records manager, wants to ensure that information is being classified using the correct terms and, in turn, has the appropriate rules applied to them.
ProblemProblem: Using native SharePoint Online functionality, the records manager would have to check all documents in each department site, document the term that has been used to classify each document, and manually create a report on those documents, which would be a very time-consuming task.
ResolutionResolution: Ann logs into AvePoint Opus and uses the Term Usage Report to generate a report that displays all the items that have been classified using the specified term. This allows Ann to interrogate these items from a central location and perform remedial action on the organization’s classification scheme as needed.

Use Case Want to Automatically Dispose of Files that Have Reached End of Life?

EventEvent: Each year, the company wants to remove content that is no longer required for business purposes to reduce storage costs and ensure users can only access information that is relevant to do their job. Ann, the company records manager, wants to report on all upcoming items that require action before she carries out the disposal tasks.
ProblemProblem: Using SharePoint Online native functionality, Ann would have to go to each team site to manually check if there are documents that need to be deleted and then manually delete the documents that meet the company’s requirements, which is a very time-consuming task.
ResolutionResolution: Ann logs into AvePoint Opus and generates a Content due for action report to assess what is coming up for action. Then she runs an Enforce Rule Actions job to carry out actions that may include a manual approval process from the business owner. The pending content had the necessary actions taken, ensuring users can find the right information to do their jobs and not be tied up with stale content.

Use Case Want to Assign Unique and Consistent Identifiers Across Site Collections?

EventEvent: Ann, a records manager, wants to comply with local standards that require that all records must be assigned a unique identifier. She wants to ensure that the identifier will be applied to all her organization’s content, whether it has been declared a record or not, according to a predefined pattern. She also wants the ability to choose which site collection will have unique identifiers applied.
ProblemProblem: Many records management standards require that records must be assigned a unique identifier. In SharePoint Online native functionality, it is only possible to configure a unique identifier within a single site collection, not across a farm.
ResolutionResolution: Ann logs into AvePoint Opus > Content sources section. She configures settings on the SharePoint sites group where the site collections that need unique identifiers exist. Using the Unique Identifier feature, Ann can define a unique ID column name and a prefix. In this way, a unique identifier will be assigned to all documents and items within these site collections.
