Export to PDFTo configure settings for a specific node, select the desired node from the tree in the left pane. The available settings will appear in the right pane, where you can click the Edit settings button next to each section to edit its settings.
When settings are configured on a node, the settings configured (
) icon will appear on that node, and all child nodes will automatically inherit these settings with the Inherited settings (
) icon displayed on the child node.
If any child node requires unique settings that are different from its parent, simply select the child node and configure its settings. This action will break the inheritance from the parent node. If you wish to revert and restore the parent’s settings, select the child node and click Inherit parent settings.
You can push settings configured on a sites container or site collection to all of its child nodes, overwriting any settings configured on those child nodes. To push parent settings, select a sites container or site collection, and click Push parent settings. Click OK in the confirmation message.
Select an answer to the following questions, and then click Save to save your changes.
Do you want to enable archiving management options?
Yes – Select this option to enable archiving management options. Enabling archiving management allows you to configure archiving rules to archive content within the selected tree node.
No – Select this option to disable archiving management options. If you disable the archiving management options, all content within the selected tree node will be skipped when AvePoint Opus enforce rules to archive content.
Do you want to delete archived data after it has been restored?
Prerequisites for this functionality: your organization’s subscription for AvePoint Opus has Bring your own storage (BYOS) enabled, and you have contacted AvePoint Support to enable this feature in the backend.
*Note: Enabling this feature may lead to higher I/O cost due to increased data read and write operations, depending on average file size. Only files archived after this feature is enabled will be deleted after restoration; files archived previously will remain unaffected.
If you want to delete the archived files or versions from the archival storage after they have been restored (via the in place restore method), select Delete restored files or versions from storage after restoration, and then select an option:
Delete restored files or versions only – This option will delete only the files or versions that have been restored from the archival storage. It does not affect any other versions of the file that were not part of the restoration process.
Delete restored files or versions, and delete all history versions if a file is restored – This option will not only delete the restored files or versions from the archival storage but also delete all historical versions of the file if it has been restored, meaning every previous version of the file, even those not involved in the current restoration process, will be deleted.
The Delete all stubs checkbox allows you to decide whether to delete stubs across locations in SharePoint Online after a file is restored.
Delete archived data after the following number of days once restored – Enter a number (days) to determine when the archived files or versions should be deleted from the archival storage after restoration.
*Note: Improperly configured rules can cause immediate and irreversible data deletion. Use caution when creating or changing rules to prevent unintended data loss. It is recommended to test new rules on a small scope before applying them organization-wide. You can also use the 'Simulate' function before performing any actions.
Refer to the following steps to configure the archiving settings:
Rules – Click Add rule. Select an object level, and then select the rule that you want to apply to the selected container from the drop-down list. All rules of the Storage optimization module created for SharePoint Online on the Rules page will be listed and selectable.
After selecting a rule, you can click the View (
) button to view rule details, or click the Remove (
) button to remove the rule. The archiving management option will be automatically disabled once all rules have been removed.
You can also click the Create (
) button in the same row to create a new rule. For information on creating a rule, refer to Manage Rules.
Change Rule Order – When more than one rule is added, you can change the rule order. To change the rule order, click the down arrow displayed in the order column, and select a new order for this rule.
Include term store – Select this checkbox to archive the entire term store associated with the content.
Decrypt Information Rights Management (IRM) protected files – Select this checkbox to enable this setting, so that files encrypted by Information Rights Management (IRM) will be decrypted when they are downloaded as part of an out-of-place restore job. Otherwise, the downloaded content will remain encrypted.
Remove retention label before an item is archived – Select this checkbox to enable this setting, so that retention labels will be temporarily removed from documents and items, enabling the deletion of documents, document versions, items, item versions, and attachments.
Click Save to save the configured settings.
Configure a schedule to define how often you would like to run a Storage optimization job. This job is used to enforce rules to the selected SharePoint Online node to manage the SharePoint Online content.
Complete the following information to configure schedule job settings and then click Save to save the configured settings.
