Post-Upgrade Phase

Post-upgrade for AvePoint tyGraph involves managing report access via Entra ID groups, updating Power BI connections and tyGraph Pages Web Parts (with Role Based Access Controls), and granting permissions.

Delegate Report Access

AvePoint tyGraph includes new user management features that enable granting access to reports and web parts to individual users and groups. Existing Entra ID Groups in your organization can be used, or new ones can be created to grant access to specific reports or web parts. For users of the tyGraph Pages Site Analytics web parts, this step must be performed prior to installation.

Grant Permission to Reports

Select one or more roles when addadding or editing a user or group. See Add/Edit Users for more information.

Update Power BI Report Connections

After AvePoint has upgraded your environment, you will need to update your connections in Power BI. We recommend getting the latest version of the reports and installing them as a new copy. This will allow you to compare your existing report to the new reports. You must complete this process for each report you are using today. Connection information and credentials can now be retrieved from AvePoint tyGraph by a tyGraph administrator.

Refer to the steps in the Connect Power BI Reports to Your Data section to install the Power BI app to view reports.

tyGraph Online Users

For users using tyGraph Online, your un-customized reports will be copied to the new environment and available under Analytics in AvePoint tyGraph.

For users with customized reports, you need to host them in your own Power BI environment. During the migration process, we will provide you with copies of any customized reports which you can upload to your environment. The connection process will be the same as documented in the above instructions.

Update tyGraph Pages Web Parts

After your upgrade has been completed, we will instruct you to install the new version of the tyGraph Pages Web Parts. This allows you to compare your legacy and new tyGraph environments during the Validation Period. The new tyGraph Pages web parts and report bar no longer require the configuration of an API key. Instead, they now use new Role Based Access Controls allowing you to specify which users or groups can use the web part.

Grant Permissions to tyGraph Pages Web Part

The tyGraph Pages Web Parts now support Role Based Access Controls to control who can use the web parts throughout your SharePoint environment. You must grant permission to use the web parts before you can add them to any pages. Complete the following steps to grant permission:

  1. Go to AvePoint tyGraph and then click Users on the left navigation pane.

  2. Click Add to add a new user or group. If you have an existing user or group, you may select it and click Edit.

  3. In the Add user or group panel, you can specify one or multiple modules for users to access. Turn on the Web part toggle and select one or multiple permissions to tyGraph Pages Site Analytics web part.

    • Pages Viewer – Select this option to allow users to view tyGraph Pages including the Query endpoint.

    • Pages Hub Site Viewer – Select this option to allow users to view tyGraph Pages at the Hub Site level.

    • Pages Site Viewer – Select this option to allow users to view tyGraph Pages at the Site level.

  4. Click Save to save the configurations.

Install tyGraph Pages Web Parts

To add the tyGraph Pages Web Parts and report bar, you will need to install the tyGraph Pages Web Parts package. You must install the tyGraph Pages Engine package first. Refer to tyGraph Pages Web Part Installation for more information.

Update Legacy tyGraph Pages Web Parts

Although not required, we recommend updating the legacy tyGraph Pages Web Parts package. This will make it easier to identify which version (legacy or updated) of the web part you are adding to a page. You can download the updated legacy web part package here. Follow the same steps in tyGraph Pages Web Part Installation to install. You do not need to remove the existing version first.

Identify tyGraph Pages Web Parts Versions

Once you have installed the new tyGraph Pages Web Parts into your App catalog, your installed apps will look like the screenshot below.

The legacy version of the tyGraph Pages Web Parts will show an app version number starting with 1.5.0.x. The new AvePoint tyGraph Pages Web Parts will show an app version number starting with 2.1.0.x.

Add the Web Part to a Page

After you have granted permissions, you can add the tyGraph Site Analytics web part to any page you would like. Follow the steps below to add the web part:

  1. When you finish installing the two app packages, navigate to your desired page in SharePoint, and then click Edit.

  2. Click the Add button to add a new web part.

  3. Click tyGraph Site Analytics.

  4. Click Save and close.

During the Validation Period, you will see two Site Analytics web parts available for installation. If you updated the legacy web parts package, you would see a different icon for the legacy web parts package.

Update Web Parts on Existing Pages

To switch to the new web part, identify each page that had the Site Analytics web part. On each page, remove the existing web part and replace it with the new web part. 

Use the Report Bar

During the Validation Period, when you activate the report bar, you will see both the old report bar and the new report bar. You can close the old report bar and transit to the new report bar. Due to caching, it is normal to see slight variations in Page View counts and Unique users.

Remove the legacy tyGraph Pages Web Parts

When you have completed your Validation Period, you may remove the legacy tyGraph Pages Web Parts. Remove the package with a version number starting with 1.5.0.x. Keep the tyGraph Pages Web Parts with version 2.1.0.x. If you did not update pages with the new web part, they will show a blank space where the old web part was on the page.

Validation Period

After AvePoint completes your tyGraph upgrade, your validation period will begin. During this period, you can finish the configuration and compare your legacy tyGraph and new AvePoint tyGraph reports. The validation period is 14 days. If you need more time, please reach out to your account team for an extension. 

Validate Power BI Reports

We recommend installing a new copy of each Power BI Report that you use to allow for comparison. While we expect the data in your old and new reports to match, it is normal to see small variations in counts in visuals. Factors such as last harvested time, Power BI refresh, date filters, and caching can cause two reports to show slight variations in numbers and should not cause concern. 

If you see large variations in counts, missing data, or data that has not been updated in a while, please report it to your AvePoint tyGraph contacts so that we can resolve the issue. Remember that your existing legacy tyGraph environment remains unchanged and that you can continue to use it throughout the validation period. If you see issues in the numbers in the new environment, use your legacy environment until the AvePoint upgrade team can resolve them. 

Validate tyGraph Pages Web Parts and Report Bar

After you have configured tyGraph Pages Web Parts, you may begin validation of the web parts. We recommend you start validation on a single site or two before rolling out the updated web part broadly across your tenant. You can create a new page on a site and add both the legacy and new web parts to compare their values. Be aware that web parts configuration settings such as date filters and scope settings can cause the web parts to show different values.

Both the Site Analytics web part and Report Bar cache queries for performance. This will cause slight variations in page counts when comparing visuals such as page views and unique users. 

Reporting Issues

If you encounter issues during your validation period, reach out to your upgrade support contact. If you do file a support ticket, please specify which version of tyGraph contains the issue (legacy or new) so that we can best support you. 

Remove Legacy App Registrations

After you have completed your Validation Period, you may remove tyGraph Entra ID Enterprise Applications from your tenant. The following applications can be removed: 

- tyGraph Enterprise  - tyGraph Online  - tyGraph SignUps  - tyGraph Pulse  - tyGraph for OneDrive  - tyGraph for SharePoint  - tyGraph for Teams  - tyGraph for Yammer  - tyGraph for Adoption and ROI 

Please ensure that no AvePoint Enterprise Applications are removed, as they are used by your new AvePoint tyGraph environment.

Upgrades for tyGraph Pages Only Users

Great news! If you were a tyGraph Pages (only) user, you will receive an upgrade to the new tyGraph for SharePoint SKU when you upgrade to AvePoint tyGraph. This new SKU contains reports for both pages and SharePoint file activity. If you have Enterprise SKU, you already have access to these reports in your existing environment. You’ll be able to take advantage of new reports after you upgrade as well. 

Opt-out of SharePoint File Activity Reporting

Some users have unique reporting or security requirements and will choose not to collect SharePoint file activity. When you opt to skip file activity reporting, some report visuals will not show any data. AvePoint tyGraph can support this by using the tyGraph Pages (only) app registration instead of the tyGraph for SharePoint app registration.

Affected Reports

When you choose not to include SharePoint file activity, some of your reports will not contain data or show a value of 0. The following reports will be affected: Site detail, Site Inventory, and Site Engagement. In addition, some visuals in tyGraph for SharePoint may not contain any data. 

Steps to Implement

To opt out of SharePoint File Activity reporting, go to the App Profile page and create a new app registration using the tyGraph Pages(only) consent. This app registration grants only Directory.Read.All and User.Read.All permissions which collects user information for use in filters and reporting. User information will be obfuscated based on your chosen Data Privacy settings. 

Once you complete this process, AvePoint tyGraph will provision resources to host your upgraded tyGraph experience. Please let us know when you have completed this process and then we will begin your upgrade during your scheduled upgrade window
