Export to PDFCommunity Lifecycle Management services provide business users with control over the lifecycle of their Viva Engage communities managed by AvePoint Cloud Governance.
This service is unavailable if your organization is using the Microsoft 365 Government GCC High environment.
To create or manage services, click Service in the Request Management group within Settings. The Community Lifecycle Management service is integrated with the Group/Team/Community Lifecycle Management service. When you create a service, choose the service type Group/Team/Community Lifecycle Management.
On the interface of creating or editing the Community Lifecycle Management services, configure the following settings.
For information about common service settings that exist in all types of services, refer to Common Service Settings.
Workspace Type – Choose Viva Engage Community.
Scope – The service scope can be a Microsoft 365 tenant or specific containers.
If you select a tenant, business users can submit requests for this service to manage the lifecycle of Viva Engage communities in the selected tenant.
If you only allow business users to manage the lifecycle of Viva Engage communities in specific containers, complete the following steps:
Select the Select containers as scope checkbox.
Click a tenant name to show the containers.
Select your desired containers.
Your Microsoft 365 tenant is displayed here when your tenant has a Viva Engage app profile configured in AvePoint Online Services. For more information about how to create a Viva Engage app profile, refer to Create App Profiles or Microsoft 365 Service Account Profiles.
Lifecycle Management Actions – Select the lifecycle management action that you allow business users to request.
Delete Community – Allows business users to request to delete a Viva Engage community.
Extend Community Lease – Allows business users to request to extend the lease of a Viva Engage community. Note that an extension to the lease of a community will grant the community the amount of time indicated in the lease from its old lease expiration date.
Change Community Policy – Allows business users to request a different community policy be associated with the Viva Engage community. Upon the community policy change, the community lease start date can be changed. You can configure the community lease start date or allow your business users to configure this.
If you do not allow the community lease start date to be changed upon the policy change, choose the Keep the original lease start date option, and then select Assign by IT Admin from the drop-down list. Then choose one from the drop-down list:
Show as Read-Only to Business User – Your selection will be shown to business users in the request form and users cannot change the selection.
Hide from Business User – Your selection for the lease start date will not be shown in the request form.
If you want to reset the community lease start date upon the policy change, choose the Select a new lease start date option, and then select Assign by IT Admin from the drop-down list. Click the calendar button, select your desired date, and click OK. Then choose one from the drop-down list:
Show as Read-Only to Business User – Your selection will be shown to business users in the request form and users cannot change the new lease start date.
Hide from Business User – Your selection for the lease start date will not be shown in the request form.
If you allow business users to choose either Keep the original lease start date or Select a new lease start date when they submit requests via this service in the AvePoint Cloud Governance Portal, select Assign by Business User from the drop-down list.
When the policy is changed, the configurations in the new policy will overwrite the original policy settings that have been applied to the community, including Viva Engage community site quota, inactivity threshold, lease period, etc.
Change Community Connected Site Quota – Allows business users to request to change the quota of the Viva Engage community site.
If you allow business users to change the Viva Engage community site quota, make sure Manual storage management is enabled in SharePoint Online admin center > Settings > Site storage limits.
Advanced Setting for Conflict Task – When your business users request to change the policy for a Viva Engage community, the community may have an ongoing lifecycle management request or renewal task. You can choose whether to Allow requesters to cancel the ongoing lifecycle management request/renewal task or reject the recertification task when they request for policy changes. If you don’t select this option, business users cannot submit the new request until the ongoing request or task is completed.
> This section is only available when you select Change Community Policy as a lifecycle management action.
When you have finished configuring settings for this service, choose one of the following options:
Click the arrow on the left-hand side to go to the previous steps to review and modify your configurations.
Click Save to save all of the configurations and return to the Service Management page.
Click Save and Activate to save all of the configurations and activate this service, which allows users to submit requests for this service.
Click Cancel to return to the Service Management page without saving any configurations.
