Export to PDFConfigure Change Community Settings services to define the Change Community Settings service request template for business users. Business users can change the community settings when they want to update the community information.
This service is unavailable if your organization is using the Microsoft 365 Government GCC High environment.
To create or manage services, click Service in the Request Management group within Settings. The Change Community Settings service is integrated with the Change Group/Team/Community Settings service. When you create a service, choose the service type Change Group/Team/Community Settings.
On the interface for creating or editing a Change Community Settings service, configure the following settings.
For information about common service settings that exist in all types of service, refer to Common Service Settings.
Workspace Type – Choose Viva Engage Community.
Scope – The service scope can be a Microsoft 365 tenant or specific containers.
If you select a tenant, business users can submit requests for this service to change the settings of Viva Engage communities in the selected tenant.
If you only allow business users to change the settings of Viva Engage communities in specific containers, complete the following steps:
Select the Select containers as scope checkbox.
Click a tenant name to show the containers.
Select your desired containers.
Your Microsoft 365 tenant is displayed here when your tenant has a Viva Engage app profile configured in AvePoint Online Services. For details, refer to Create App Profiles or Microsoft 365 Service Account Profiles.
Community Scope – Define the scope of Viva Engage communities whose settings can be changed. Choose one of the following options:
Allow requesters to change any community settings – Allows business users to change settings of any community.
Allow community admins and/or members to change their community settings
Allow community admins to change their community settings
Allow community members to change their community settings
Change Community Name/Description/Info – Choose whether to allow business users to change the Name, Description, and/or Info of the Viva Engage community.
Change Community Contact – Choose whether to allow business users to Change primary community contact and/or Change secondary community contact. Choose whether to Notify the newly assigned contacts. If you enable the notification, select an email template for the notification email sent to the new contacts.
Change Community Admin Settings – Choose whether to allow business users to add or remove the Viva Engage community admins.
Add community admins – Allows business users to add new admins to Viva Engage communities.
Remove community admins – Allows business users to remove community admins from Viva Engage communities.
Change Community Assignment Settings – The members of a Viva Engage community may be manually added or be added via dynamic membership rules. You can choose whether to Allow requesters to switch between classic and dynamic community membership assignment methods when business users submit requests using this service.
For Classis community membership, choose whether to allow business users to add or remove Viva Engage community members.
Add users to communities – Allows business users to add Microsoft 365 users to communities in the request form.
Remove users from communities – Allows business users to remove Microsoft 365 users from communities in the request form.
For Dynamic community membership, you can choose whether to Allow requesters to change values of dynamic community membership rules in the request form. With the option selected, you can also choose whether to allow business users to Change dynamic community membership rules.
If you allow requesters to change dynamic membership rules and rule values in the request form, you can choose to Restrict and predefine the dynamic membership rules that requesters can add and predefine rules that are available to be selected in the request form:
Logic option – If you add multiple rules to the list, select And or Or from the drop-down list. If you select And, the community members will be added based on all the rule conditions. If you select Or, the community members will be added based on any of the rule conditions. Let’s take an example for you to have a better understanding:
If you add multiple rules to the list with the logic order, for example, C1 Or C2 And C3. The users whose properties conform to either condition C1 or condition C2, as well as conform to condition C3 will be added as community members.
Category – Select a category for the dynamic membership rule:
Contact information
License
Organization
Rule – Select a dynamic membership rule from the drop-down list.
Condition – Define the condition to Equals, Contains, or Is a certain value.
Value – Enter a value for the rule. Users whose properties conform to the value will be added to the team. You can choose whether to Allow requesters to define the value.
If you choose Group Assignment as the dynamic membership rule and Belongs to as the condition, you can enter multiple values for the rule.
If you want to rest the rule, click Clear Settings and set the rule settings above again. After you configure a rule, click Add to list to add it to the list. If you want to remove all the rules in the list, click Clear Table.
Change Community Classification Settings – Choose whether to allow business users to change classifications for the Viva Engage community specified in the service request form. If you select the Change community classification checkbox, you must select one or more of the classifications from the table.
Change Hub Site Options – Choose whether to allow business users to change hub site options for Viva Engage community sites.
If a Viva Engage community site does not have the hub site feature enabled, the business users can choose to register the Viva Engage community site as a hub site or associate the Viva Engage community site with an existing hub.
If a Viva Engage community site has the hub site feature enabled, the business users can disable the hub site feature and associate the community site with another hub.
Regional Settings – Choose whether to allow business users to Specify time zone and/or Specify locale for Viva Engage community sites in the service request form.
Change Community Metadata – Choose whether to allow business users to change metadata for the Viva Engage community specified in the service request form. If you select the Metadata checkbox, you can also select the Enable adding or deleting metadata checkbox to allow business users to add or delete metadata in the service request form. Then, click Add Metadata to go to the Add Metadata window. In the Add Metadata window, select desired metadata and click Add to List. The metadata displayed here is configured in Settings > Request Management > Metadata. You can also create or edit metadata first, and then add the metadata to the list.
If you deselect the Enable adding or deleting metadata checkbox, you are only allowed to add metadata whose values are assigned by business users to the grid. Otherwise, business users cannot modify the metadata values in the service request form.
When you have finished configuring settings for this service, choose one of the following options:
Click the arrow on the left-hand side to go to the previous steps to review and modify your configurations.
Click Save to save all of the configurations and return to the Service Management page.
Click Save and Activate to save all of the configurations and activate this service, which allows users to submit requests for this service.
Click Cancel to return to the Service Management page without saving any configurations.
