    Configure Email Templates

    Email Templates allow you to customize notification emails sent by AvePoint Cloud Governance, such as when a request is approved or when a task is assigned. Different email templates are used for different notifications. You can configure modern email templates in the modern Cloud Governance admin center. For more instructions, refer to Configure Modern Email Templates.

    Note that the classic email templates provisioning in the classic Cloud Governance admin center is no longer available since the AvePoint Cloud Governance November 2021 version release date. If your tenant signed up for AvePoint Online Services and started using AvePoint Cloud Governance before the release date, you can still edit or delete existing email templates in the classic Cloud Governance admin center. The release dates vary with the AvePoint Cloud Governance environment you’re using:

    • Insider environment – October 22, 2021

    • Commercial environment – November 7, 2021

    • U.S. Government environment – November 14, 2021

    To access Email Templates settings, click Email Templates in the System group within the Settings interface.

    In the interface for editing an email template, configure the following settings:

    1. Enter a desired Email Template Name for the email template. Then, enter an optional Description for the email template for future reference.

    2. Select an Email Template Type from the drop-down list to designate when the email template can be used in AvePoint Cloud Governance.

    3. Email Template Language – The email template language will be used as the display language of the email sent to recipients. Complete the following steps to configure the email template language:

      1. Click the edit button of a language that you want to define for the email template you are about to create.

      2. In the Edit window, complete the following steps:

        1. Subject – Enter the subject of the email notification for the email template. You can insert a reference in the subject by clicking Insert Reference. A reference is a parameter that will call up the corresponding information for each request, task, or event. The references displayed in the pop-up window are all references available to the email template type you selected. For descriptions for the classic email template references, see Appendix G - Supported References in Email Templates.

        2. Message Body – Customize the message body of the email notification for the email template. You can insert a reference in the message body by clicking Insert Reference. A reference is a parameter that will call up the corresponding information for each request, task, or event. The references displayed in the pop-up window are all references available to the email template type you selected. For descriptions for the classic email template references, see Appendix E - Supported References in Email Templates.

        3. Click Save to save your configurations, or click Cancel to return to the Email Templates window.

      3. Click Not Enabled in the table to have the status switched to Enabled. The language will be enabled as the display language for this email template.

      4. You can repeat the steps above to enable multiple languages for the email template.

      If you enabled multiple languages, select a default language from the drop-down list.

      Note the following:

      • If the language selected in AvePoint Cloud Governance Personal Settings is enabled here, the display language of the email sent to recipients follows the language defined in the AvePoint Cloud Governance Personal Settings of the recipients.

      • If the language selected in AvePoint Cloud Governance Personal Settings is not enabled here, the default language will be used as the display language of the email.

      • If the recipients of an email are multiple users, the display language of this email will be the default language that you selected.

      After you enable a language for the email template, you can see a test button. Complete the following steps if you want to send a test email:

      1. Click the test button.

      2. In the AvePoint Cloud Governance window, enter an email address in the text box and click Send. AvePoint Cloud Governance will send a test email to your specified email address. Note that all data contained in the test email is sample data.

    4. Click Save to save the configurations and return to the Email Templates interface, or click Cancel to return to the Email Templates interface without saving any configurations.
