Export to PDFConfigure Change Group/Team Settings services to define the Change Group/Team Settings service request template for business users. You can change the group/team settings when you want to update the group/team information.
To create or manage services, click Service in the Request Management group within Settings. The Change Group/Team Settings service is integrated with the Change Group/Team/Community Settings service. When you create a service, choose the service type Change Group/Team/Community Settings.
On the interface for creating or editing a Change Group/Team Settings service, configure the following settings.
For information about common service settings that exist in all types of services, refer to Common Service Settings.
Workspace Type – Choose Microsoft 365 Group/Microsoft Team.
Scope – The service scope can be a Microsoft 365 tenant or specific containers.
If you select a tenant, business users can submit requests for this service to change the settings of Microsoft 365 Groups/Microsoft Teams in the selected tenant.
If you only allow business users to change the settings of Microsoft 365 Groups/Microsoft Teams in specific containers, complete the following steps:
Select the Select containers as scope checkbox.
Click a tenant name to show the containers.
Select your desired containers.
Your Microsoft 365 tenant is displayed here when your tenant has a Microsoft Entra ID app profile configured in AvePoint Online Services. For more information about how to create a Microsoft Entra ID app profile, refer to Manage App Profiles.
Allow Requests for Archived Teams – Choose whether to Allow change team settings requests for archived teams. With the option selected, requesters are allowed to submit requests to change settings of archived teams managed by AvePoint Cloud Governance. If not selected, requesters cannot submit change team settings requests against archived teams managed by Cloud Governance. Note that change requests can always be submitted for natively archived teams not managed by Cloud Governance.
Group/Team Scope – Define the scope of Microsoft 365 Groups/Microsoft Teams whose settings can be changed. Choose one of the following options:
Allow requesters to change any group/team settings – Allows business users to change settings of any group/team.
Allow owners and/or members to change their group/team settings
Allow owners to change their group/team settings
Allow members to change their group/team settings
Limit the group/team whose settings can be changed – Select a people picker filter profile from the drop-down list. The groups or teams that requesters can specify to change in the request form will be limited by the filter conditions of the selected profile.
You can create a people picker filter profile in the modern Cloud Governance admin center > Management > Profiles & templates. For details, refer to Configure People Picker Filter Profiles.
People Picker Filter Profile – Select a people picker filter profile if you want to limit the users or groups that will be specified in the following people picker fields in the request form:
Primary group/team contact
Secondary group/team contact
Group/Team owners
Group/Team members
You can create a people picker filter profile in the modern Cloud Governance admin center > Management > Profiles & templates. For details, refer to Configure People Picker Filter Profiles.
Change Group/Team Name and Description – Choose whether to allow business users to change the Name and/or Description of the Microsoft 365 Group/Microsoft Teams.
Change Member Subscription Settings – Choose whether to allow business users to change the Send copies of conversations and events to group/team members’ inboxes setting.
To change group/team member subscription settings, make sure an impersonation account is configured in Settings > Impersonation Account Management. For details, refer to Configure Impersonation Accounts.
Change Outside Senders Settings – Choose whether to allow business users to change settings for outside senders by selecting the Change outside senders checkbox.
To change outside sender settings, make sure an impersonation account is configured in Settings > Impersonation Account Management. For details, refer to Configure Impersonation Accounts.
Change Group/Team Contact – Choose whether to allow business users to change the Primary group/team contact and/or Secondary group/team contact.
Choose whether to Notify the newly assigned contacts. If you enable the notification, select an email template for the notification email sent to the new contacts from the drop-down list.
Change Group/Team Owner Settings – Choose whether to allow business users to add or remove Microsoft 365 Group/Microsoft Team owners.
Add group/team owners – Select this option to allow business users to add new owners to groups/teams. Then, you must choose the scope for the new owners. Choose one of the following options:
Allow any user – Allows the business user to add any user as the new group/team owner.
Allow peers and direct or indirect reports – Allows the business user to add Microsoft 365 users as new group/team owners when:
The requester shares the same manager as the Microsoft 365 user.
The requester is the manager of the Microsoft 365 user.
The requester is a higher-level manager of the Microsoft 365 user.
Allow direct or indirect reports – Allows the business user to add Microsoft 365 users as new group/team owners when:
The requester is the manager of the Microsoft 365 user.
The requester is a higher-level manager to the Microsoft 365 user’s manager.
Note that when a user is added as the group/team owner, the user will be added as the group/team member as well.
Remove group/team owners – Select this option to allow business users to remove group/team owners from groups/teams. Note that when a user is removed from the owner’s group, the user will be removed from the member’s group as well.
Change Group/Team Assignment Settings – The members of a Microsoft 365 Group or Microsoft Team may be manually added or be added via dynamic membership rules. You can choose whether to Allow requesters to switch between classic and dynamic group/team membership assignment methods when business users submit requests using this service.
For Classic group/team membership, choose whether to allow business users to add or remove Microsoft 365 Group/Microsoft Team members.
Add users to groups/teams – Allows business users to add Microsoft 365 users to groups/teams in the request form. Choose one of the following options to set the scope for group/team members:
Allow any user – Allows business users to add any Microsoft 365 user to a group/team.
Allow peers and direct or indirect reports – Allows business users to add Microsoft 365 users to groups/teams when:
The requester shares the same manager as the Microsoft 365 user.
The requester is the manager of the Microsoft 365 user.
The requester is a higher-level manager to the Microsoft 365 user’s manager.
Allow direct or indirect reports – Allows business users to add Microsoft 365 users to groups/teams when:
The requester is the manager of the Microsoft 365 user.
The requester is a higher-level manager than the Microsoft 365 user’s manager.
Remove users from groups/teams – Allows business users to remove Microsoft 365 users from groups/teams in the request form. Note that when a group/team member is removed from the member’s group, if they’re the group/team owner in the meantime, the owner role won’t be removed from the user.
For Dynamic group/team membership, you can choose whether to Allow requesters to change values ofdynamic group/team membership rules in the request form. With the option selected, you can also choose whether to allow business users to Change dynamic group/team membership rules.
If you allow requesters to change dynamic membership rules and rule values in the request form, you can choose to Restrict and predefine the dynamic membership rules that requesters can add and predefine rules that are available to be selected in the request form:
Logic option – If you add multiple rules to the list, select And or Or from the drop-down list. If you select And, the group/team members will be added based on all the rule conditions. If you select Or, the group/team members will be added based on any of the rule conditions. Let’s take an example for you to have a better understanding:
If you add multiple rules to the list with the logic order, for example, C1 Or C2 And C3. The users whose properties conform to either condition C1 or condition C2, as well as conform to condition C3 will be added as group/team members.
Category – Select a category for the dynamic membership rule:
Contact information
License
Organization
Rule – Select a dynamic membership rule from the drop-down list.
Condition – Define the condition to Equals, Contains, or Is a certain value.
Value – Enter a value for the rule. Users whose properties conform to the value will be added to the team. You can choose whether to Allow requesters to define the value.
If you choose Group Assignment as the dynamic membership rule and Belongs to as the condition, you can enter multiple values for the rule.
If you want to rest the rule, click Clear Settings and set the rule settings above again. After you configure a rule, click Add to list to add it to the list. If you want to remove all the rules in the list, click Clear Table.
Enable Microsoft Teams – Choose whether to allow business users to enable Microsoft Teams functionality for the requested Microsoft 365 Group.
Change Group/Team Sensitivity Label – Choose whether to allow business users to change group/team sensitivity labels in the service request form. If you select the checkbox, select one or more sensitivity labels from the table, which will be available for requesters to select in the service request form. You can also select None if you allow your business users to not select any sensitivity label in the service request form to apply to the group/team.
Note that this section appears only when sensitivity labels are enabled for your tenant in Settings > System settings > Sensitivity labels in the modern Cloud Governance admin center.
Change Hub Site Options – Choose whether to allow business users to change hub site options for Microsoft 365 Group team sites.
If a group team site does not have the hub site feature enabled, the business user can choose to register the group team site as a hub site or associate the group team site with an existing hub site.
If a group team site has the hub site feature enabled, the business user can disable the hub site feature and associate the group team site with another hub site.
Change Group/Team Classification Settings – Choose whether to allow business users to change classifications for the Microsoft 365 Group/Microsoft Team specified in the service request form. If you select the Change group/team classification checkbox, you must select one or more of the classifications from the table.
Note that once the integration with sensitivity labels is enabled in your tenant, the Group/Team Classification section will be hidden and no longer requires configuration.
Regional Settings – Choose whether to allow business users to Specify time zone and/or Specify locale for group team sites in the service request form.
Change Group/Team Metadata – Choose whether to allow business users to change metadata for the Microsoft 365 Group/Microsoft Team specified in the service request form. If you select the Metadata checkbox, you can also select the Enable adding or deleting metadata checkbox to allow business users to add or delete metadata in the service request form. Then, click Add Metadata to go to the Add Metadata window. In the Add Metadata window, select desired metadata and click Add to List. The metadata displayed here is configured in Settings > Request Management > Metadata. You can also create or edit metadata first, and then add the metadata to the list.
If you deselect the Enable adding or deleting metadata checkbox, you are only allowed to add metadata whose values are assigned by business users to the grid. Otherwise, business users cannot modify the metadata values in the service request form.
When you have finished configuring settings for this service, choose one of the following options:
Click the arrow on the left-hand side to go to the previous steps to review and modify your configurations.
Click Save to save all of the configurations and return to the Service Management interface.
Click Save and Activate to save all of the configurations and activate this service, which allows users to submit requests for this service.
Click Cancel to return to the Service Management interface without saving any configurations.
