Export to PDFThe Demonstration Preparation Tool can be used to trigger AvePoint Cloud Governance tasks manually and immediately. Use the tool to speed up AvePoint Cloud Governance processes and facilitate time-efficient demonstrations and testing. AvePoint strongly recommends that the tool is used only in test environments and never in production environments.
To access the Demo Preparation Tool page, click Demo Preparation Tool in the System group within Settings.
The Demo Preparation Tool is available to you only when the IT Admin assigns you permission to use this tool. The permission to use this tool can be granted by creating an AvePoint Cloud Governance group in Account Manager.
You can configure the following sections on the Demo Preparation Tool page:
Use these settings to make tasks expire quickly, as well as shorten the interval to send task reminder emails. Select the Enable task duration settings checkbox and configure the following settings:
Task duration – Enter a number in the text box. The unit of time is in minutes.
Task reminder interval – Enter a number in the text box. The unit of time is in minutes.
Task assignee (email address) – Enter the email address of a user.
Click Save on the ribbon. The settings will take effect on all the assignee’s pending tasks that have duration set in the corresponding approval processes.
You must disable the task duration settings after you finish the demonstrations and testing.
Use these settings to trigger jobs related to the site collection.
Trigger site collection recertification – Choose one of the following types of recertification and enter a site collection URL in the text box:
Trigger site collection ownership recertification
Trigger site collection metadata recertification
Trigger site collection permission recertification
Trigger site collection renewal – Enter a site collection URL in the text box.
Trigger the site collection status scan job – Choose one of the following jobs and enter a site collection URL in the text box:
Trigger a job to make the site collection reach the inactivity threshold
Trigger a job to make the site collection lease expire
Trigger an automatic site collection locking job – Choose one of the following jobs and enter a site collection URL in the text box:
Trigger a job to lock the site collection
Trigger a job to execute an additional lifecycle action
Trigger a reminder prior to locking the site collection
Trigger a reminder about the site collection escalation before the lifecycle action task is generated
Trigger a job to check the current storage of the site collection – Enter a site collection URL in the text box.
Trigger a site collection contact election process – Enter a site collection URL in the text box.
When you finish, click Save on the ribbon. The selected jobs will start immediately.
Use these settings to trigger jobs related to Microsoft 365 Groups/Microsoft Teams.
Trigger group/team recertification – Choose one of the following types of recertification and enter a group/team name or group/team ID in the text box:
Trigger group/team membership recertification
Trigger group team site permission recertification
Trigger group/team/community renewal – Enter a group/team/community name or group/team/community ID in the text box.
Trigger the group/team/community status scan job – Choose one of the following jobs and enter a group/team/community name or group/team/community ID in the text box:
Trigger a job to make the group/team/community reach the inactivity threshold
Trigger a job to make the group/team/community lease expire
Trigger an automated escalation process for a group/team whose inactivity threshold has reached
Trigger an automated escalation process for a group/team whose lease has expired
Trigger a job to delete a group/team/community whose lease has expired – Enter the name or ID of a group/team/community whose lease has already expired.
Trigger a job to archive a team whose lease has expired – Enter the team name or team ID whose lease has already expired.
Trigger a job to check the current storage of the group team site or Viva Engage community site – Enter a group/team/community name or group/team/community ID in the text box.
When you finish, click Save on the ribbon. The selected jobs will start immediately.
Use these settings to trigger jobs related to automatic import processes.
Trigger an automatic import process for Microsoft 365 Groups/Microsoft Teams – Enter the name of an automatic import profile.
Trigger an automatic import process for site collections – Enter the name of an automatic import profile.
When you finish, click Save on the ribbon. The selected jobs will start immediately.
