What Can I Do as an Approver?

Approvers are users who are primarily responsible for reviewing and approving or rejecting service requests. By approving the service requests, approvers give users what they need quickly and easily while enforcing corporate policies across the organization.

Approvers can also submit and review requests similar to a user. For more information, refer to Start a Request and View Your Requests.

Approve or Reject Requests

When a service request is submitted, and you are one of the approvers of this request, a task is generated and added to your To-do list on the Home page or the My tasks report.

In the To-do list > Approvals section or My tasks report, the requests that need your approval are displayed. You can filter the requests by Due date or Created date, etc.

To view and handle a request, complete the following steps:

  1. You can view a request in the following areas:

    • In your To-do list > Approvals, locate a request and click the view button to view the details of the request in a panel.

    • In the My tasks report, select a request and click the request summary to view details of the request in a panel.

    • In the new MyHub experience > Tasks and to-dos, click a request name to view the request in a panel.

      NOTE

      You can only handle requests submitted in the new AvePoint Cloud Governance Portal using this method.

  2. Review the request details.

  3. Click Approve or Reject.

  4. Enter any comments you may have in the pop-up window.

  5. Click Submit to confirm or click Cancel to exit.

If your administrator allows you to edit the request, you can click Edit on the ribbon to open the Edit request page. After editing the request details, click Save and approve.

Reassign Tasks

You can reassign a task to another approver if your administrator allows you to do so.

To reassign a task to another user, complete the following steps:

  1. You can view a task in the following areas:

    • In your To-do list, locate a request and click the view button to go to the request details panel.

    • In the My tasks report, select a request and click the summary to view details of the request in a panel.

    • In the new MyHub experience > Tasks and to-dos, click a request name to view the request in a panel.

      NOTE

      You can only handle requests submitted in the new MyHub experience using this method.

  2. Click Reassign.

  3. In the Reassign window, enter the name of a user or group that will become the approver.

  4. Click Submit to confirm or click Cancel to exit.

Manage Tasks

When a service request is submitted, and you are one of the approvers of this request, a task is generated and added to your To-do list on the Home page or the My tasks report.

In the To-do list > Confirmations section or My tasks report, the tasks that need your confirmations are displayed. You can filter the tasks by Due date or Created date, etc.

Manage Clone or Transfer User Permissions Tasks

To manage a Clone or Transfer User Permissions task, complete the following steps:

  1. You can view a task in the following areas:

    • In your To-do list, locate a task and click the view button to go to the task details panel.

    • In the My tasks report, select a task and click the summary to view the task details in a panel.

  2. Click Review the permission report on the ribbon.

  3. The report page shows the SharePoint scopes where the source user has permissions. You can see what permissions the target user will have after the permission clone.

  4. If you confirm that one or more permissions can be added to the target user, select the corresponding items and click Submit. If you do not want to add one or more permissions to the target user, select the corresponding items and click Reject.

Manage Remove Permissions Tasks

To manage a remove permissions task, complete the following steps:

  1. You can view a task in the following areas:

    • In your To-do list, locate a task and click the view button to go to the task details panel.

    • In the My tasks report, select a task and click the summary to view the task details in a panel.

Click Review the permission report on the ribbon.

  1. On the Review permissions page, select the users or groups whose permissions you want to remove.

  2. When you finish, click Submit.

Manage Change Permissions Tasks

To manage a Change Permissions task, complete the following steps:

  1. You can view a task in the following areas:

    • In your To-do list, locate a task and click the view button to go to the task details panel.

    • In the My tasks report, select a task and click the summary to view the task details in a panel.

  2. Click Change permissions on the ribbon.

  3. On the Change permissions page, the user and SharePoint group permissions after the requester’s permission changes are displayed. Select a user or SharePoint group to view the permission details. You can also change the permissions.

    For a SharePoint group, you can perform the following actions:

    • View group members – Click View group members, and a panel will appear. You can perform the following actions on a selected group member:

      • Change group – If you choose the Change the group that the user belongs to action, select a target group from the drop-down list. If you choose the Remove the user action, choose one of the following options: Remove from the current group and Remove from the site collection. When you finish, click Save.

      • Remove user from group – Removes the selected user from the current group. Click Remove in the pop-up window to confirm.

      • Remove user from site collection – The user will no longer have any access to the site collection. Click Remove in the pop-up window to confirm.

    • Edit group permission – Locate an object in the list and select a permission level from the Permissions drop-down list.

    • Remove group permission – Locate an object in the list and click the remove button. A pop-up window appears asking for your confirmation. Click Remove to confirm.

    For a user, you can perform the following actions:

    • Edit user permission – Locate an object in the list and select a permission level from the Permissions drop-down list.

    • Remove user permission – Locate an object in the list and click the remove button. A pop-up window appears asking for your confirmation. Click Remove to confirm.

    • Remove user from site collection – The user will no longer have any access to the site collection. Click Remove user from site collection above the table. A pop-up window appears asking for your confirmation. Click Remove to confirm.

    You may need to reset the changes. Click Reset on the ribbon to select Reset my changes or Reset all changes.

    • Reset my changes – Any changes you've made to this task will be cleared. The task will be reset to the state when it is assigned to you.

    • Reset all changes – Any previous changes that have been made to this task will be cleared. The task will be reset to its initial state when it was originally generated.

  4. When you finish, click Submit.
