Manage Automatic Site Collection Lifecycle Management Tasks

Automatic Site Collection Lifecycle Management tasks include site collection inactivity threshold tasks and site collection lease expiration tasks. These tasks will be automatically generated if the following conditions are met:

  • A site collection has the lease or inactivity threshold enabled.

  • The site collection inactivity threshold is reached, or the site collection lease has expired.

As a site collection contact or administrator, you are responsible for managing the automatically generated lifecycle task for a site collection. The task is added to the Confirmations section in your To-do list or the My tasks report.

NOTE

Apart from the Continue access action, other actions will be available only when your administrator enables the corresponding lifecycle actions in site collection policies.

Refer to the instructions in the sections below to manage site collection inactivity threshold tasks and site collection lease expiration tasks.

Continue Site Collection Access

For a site collection inactivity threshold task, you can continue allowing access to the site collection if the site collection is still in use. Follow the steps below:

  1. You can view the site collection inactivity task in the following areas:

    • In your To-do list, locate a task and click the view button to go to the task details panel.

    • In the My tasks report, locate a task and click the summary to view the task details in a panel.

  2. Click Continue access on the ribbon.

  3. A panel appears asking for your confirmation. You can enter comments in the panel. When you finish, click OK to confirm.

Extend a Site Collection Lease

For a site collection lease expiration task, you can request to extend the site collection lease. Follow the steps below:

  1. You can view the site collection lease expiration task in the following areas:

    • In your To-do list, locate a task and click the view button to go to the task details panel.

    • In the My tasks report, locate a task and click the summary to view the task details in a panel.

  2. Click Extend lease on the ribbon. The Extend site collection lease page appears.

  3. The lease extension period is displayed if your administrator has defined it. If the field is available to configure, define the amount of time to extend the lease period.

  4. You can enter comments for the site collection lease extension. When you finish, click Submit.

Archive a Site Collection

For both site collection inactivity threshold tasks and site collection lease expiration tasks, you can request to archive the site collection. Follow the steps below:

  1. You can view a site collection inactivity threshold task or lease expiration task in the following areas:

    • In your To-do list, locate a task and click the view button to go to the task details panel.

    • In the My tasks report, locate a task and click the summary to view the task details in a panel.

  2. Click Archive on the ribbon.

  3. A pop-up window appears asking for your confirmation. Click OK and the Archive site collection page appears.

  4. You can enter comments for the site collection archiving. When you finish, click Submit.

Delete a Site Collection

For both site collection inactivity threshold tasks and site collection lease expiration tasks, you can request to delete the site collection. Follow the steps below:

  1. You can view a site collection inactivity task or lease expiration task in the following areas:

    • In your To-do list, locate a task and click the view button to go to the task details panel.

    • In the My tasks report, click the summary to view the task details in a panel.

  2. Click Delete on the ribbon.

  3. A pop-up window appears asking for your confirmation. Click OK and the Delete site collection page appears.

  4. You can enter comments for the site collection deletion. When you finish, click Submit.

Change a Site Collection Policy

For both site collection inactivity threshold tasks and site collection lease expiration tasks, you can request to change the policy for the site collection. Follow the steps below:

  1. You can view a site collection inactivity threshold task or lease expiration task in the following areas:

    • In your To-do list, locate a task and click the view button to go to the task details panel.

    • In the My tasks report, click the summary to view the task details in a panel.

  2. Click Change policy on the ribbon. The Change site collection policy page appears.

  3. Select a policy from the drop-down list. You can enter comments for the policy change. When you finish, click Submit.
