Renew Shared Channel

As a shared channel owner, when your administrator enables the renewal process for the shared channel and selects you as the shared channel renewal task assignee, you are responsible for reviewing and updating the shared channel ownership and membership during the renewal process.

  1. You can view the shared channel renewal task in the following areas:

    • In the new MyHub experience > Tasks and to-dos, click Start task to access the shared channel renewal landing page.

    • In the legacy MyHub experience, you can find the shared channel renewal task using one of the following methods, and click Renew to start the renewal task:

      • Click To-do list in the left pane. On the To-do list page, navigate to the Confirmations section. The shared channel tasks to be completed are displayed. You can filter the tasks by Due date or Created date. Locate a shared channel and click the View button to view details in a panel.

      • Click My tasks in the left pane. In the My tasks report, you can filter the tasks by Status, Task type, Due date, etc. Then, locate a task that needs your renewal and click the summary to view the task details in the panel.

  2. Your renewal experience may vary depending on your IT administrator’s configurations:

    • New landing page – If you see intake questions at the bottom of the page, you are on the new landing page.

      NOTE

      When there are no available intake questions, the Start renewal button is displayed in the lower-right corner of the page.

    • Classic landing page – If you see the Renew Overview page with the Start renewal button displayed in the upper-right corner, you are on the classic landing page.

New Landing Page

Before starting the renewal process, you may see one or both of the following intake questions at the bottom of the page based on your IT administrator’s configurations:

  1. Are you responsible for this channel?

    • Yes – You will proceed to the next intake question, or the confirm details process will begin.

    • No – The I am not responsible for this task window appears and you may see one of the following contents based on your IT administrator’s configuration.

      • If your organization allows you to reassign or skip the task:

        • To reassign the task, choose I’m not the correct assignee, but I know who is responsible for this renewal and specify the new assignee.

        • To skip the task, choose I'm not the correct assignee, and I don't know who is responsible for this renewal.

        Click OK to proceed.

      • If your IT administrator only allows you to skip the task, click OK in the confirmation window to skip the task.

      • If your IT administrator only allows you to reassign the task, specify the new assignee and click OK.

    • Cancel – This will exit the task without changes.

  2. Do you still need this channel?

    • Yes – The renewal process will begin.

    • No – In the Delete this shared channel window, click Delete if you no longer require the shared channel.

    • Cancel – This will exit the task without changes.

While answering the intake questions, you can view the following shared channel information:

  • Primary contact

  • Secondary contact (if any)

  • Last active time

  • Owners (count)

  • External users (count)

  • External teams (count)

Classic Landing Page

Before you start the renewal process of the shared channel, you can view the following shared channel information:

  • Shared channel ownership – You can view the shared channel ownership information in the Ownership area.

  • Member statistics – You can view the following member statistics information in the Member statistics area:

  • The amount of shared channel owners and members, and the amount of teams that the channel is shared with.

  • The amount of external users and external teams in the shared channel.

  • Activity information – You can view the last active time of the shared channel in the Activity area. It displays the last active time of the channel connected SharePoint site or the last message sent time in the channel.

After reviewing the shared channel details, you can:

  • Click Delete this channel to delete the shared channel if you no longer require it. Click Delete to confirm the shared channel deletion or click Cancel and return to the Renewal overview page.

    NOTE

    This area is available only when your administrator allows the shared channel deletion.

  • Enable reminder later – Click Remind me later if you don’t want to renew the shared channel right now and want to enable a reminder. Then, the Reminder email window appears, asking for your confirmation. Click OK, and a renewal task reminder email will be sent to you in 24 hours.

To start the renewal process, click Start renewal.
