Renewal Overview

Your renewal experience may vary depending on your IT administrator’s configurations:

  • New landing page – If you see intake questions at the bottom of the page, you are on the new landing page. Refer to the New Landing Page section below for details.

    NOTE

    When there are no available intake questions, the Start renewal button is displayed in the lower-right corner of the page.

  • Classic landing page – If you see the Renew Overview page with the Start renewal button displayed in the upper-right corner, you are on the classic landing page. Refer to the Classic Landing Page section below for details.

New Landing Page

Before starting the renewal process, you may see one or both of the following intake questions based on your IT administrator’s configurations:

  1. Are you responsible for this group/team?

    • Yes – You will proceed to the next intake question, or the renewal process will begin.

    • No – The I am not responsible for this task window appears and you may see one of the following contents based on your IT administrator’s configuration.

      • If your organization allows you to reassign or skip the task:

        • To reassign the task, choose I’m not the correct renewal assignee, but I know who is now responsible for this renewal and specify the new assignee.

        • To skip the task, choose I'm not the correct renewal assignee, and I don't know who is responsible for this renewal.

        Click OK to proceed.

      • If your IT administrator only allows you to skip the task, click OK in the confirmation window to skip the task.

      • If your IT administrator only allows you to reassign the task, specify the new assignee and click OK.

    • Cancel – This will exit the task without changes.

  2. Do you still need this group/team?

    • Yes – The renewal process will begin.

    • No – You may see one or more lifecycle management options based on your IT administrator’s configurations:

      • For Microsoft 365 Groups:

        • I want to delete this group

        • I want to limit access to this group

        • I want to Opus Archive this group – You may need to select a Microsoft 365 Group limit access profile based on your IT administrator’s configurations.

      • For Microsoft teams:

        • I want to Microsoft 365 Archive this team – You may need to select a team archiving profile based on your IT administrator’s configurations.

        • I want to delete this team

        • I want to Opus Archive this team – You may need to select a team archiving profile based on your IT administrator’s configurations.

      Choose a lifecycle action for the group/team if you no longer require it and click OK.

      If only one lifecycle action is allowed by your IT administrator, you’ll be brought to confirm the action.

    • Cancel – This will exit the task without changes.

While answering the intake questions, you can view the following group/team information:

  • Primary contact

  • Secondary contact (if any)

  • Last active time

  • Storage (consumed)

  • Owners

  • External users

In the upper-right corner of the page, you can:

  • Click View details to see additional group/team details in the View details panel.

  • Click View group/View team to open the group/team in a new tab.

Classic Landing Page

Before starting the group/team renewal process, as a renewal task assignee, you can:

  • View workspace details – You can click View details below the group/team name and view the group’s or team’s detailed information in the View details panel.

  • Open workspace – You can click View group or View team below the group or team name to open the group or team in a new tab.

  • Enable reminder later – Click Remind me later if you don’t want to renew the group/team right now and want to enable a reminder. Then, the Reminder email window appears asking for your confirmation. Click OK, and a renewal task reminder email will be sent to you in 24 hours.

  • Confirm details – You may reassign the renewal task if you are no longer responsible for the group/team or request the group/team to be decommissioned if you no longer need it. Based on your IT administrator’s configuration, you may see one or more of the following links below the page:

    For Microsoft 365 Groups:

    • Limit access to this workspace – Click this link if you want to restrict access to the group and then select a Microsoft 365 Group limit access profile to be applied to the group if required.

    • Delete this group – Click this link if you want to delete this group.

    • Opus Archive this group – Click this link if you want to Archive this group via Opus. You may need to select a Microsoft 365 Group limit access profile to be applied to the group if required.

    • I don’t need this group – Choose I want to limit access to this group, I want to delete this group, or I want to Opus Archive this group based on your requirements. If you choose I want to limit access to this group or I want to Opus Archive this group, you may need to select a Microsoft 365 Group limit access profile to be applied to the group if required.

    • I am not responsible for this task – You may see one of the following contents based on your IT administrator’s configuration.

      • If your IT administrator allows you to reassign and skip the task, choose Reassign task to and specify the assignee to reassign the task, or choose I'm not the correct renewal assignee, and I don't know who is responsible for this renewal to skip the task.

      • If your IT administrator only allows you to skip the task, click OK in the confirmation window to skip the task.

    • Reassign this task – Click this link, specify a new assignee, and click OK to reassign this task.

    For Microsoft Teams:

    • Microsoft 365 Archive this team – Click this link if you want to archive this team via the Microsoft 365 Archive service.

    • Delete this team – Click this link if you want to delete this team.

    • Opus Archive this team – Click this link if you want to archive this team via Opus. You may need to select a team archiving profile to be applied to the team if required.

    • I don’t need this team – Choose I want to Microsoft 365 Archive this team, I want to delete this team, or I want to Opus Archive this team based on your requirements. If you choose I want to Microsoft 365 Archive this team or I want to Opus Archive this team, you may need to select a team archiving profile to be applied to the team if required.

    • I am not responsible for this task – You may see one of the following contents based on your IT administrator’s configuration.

      • If your IT administrator allows you to reassign and skip the task, choose Reassign task to and specify the assignee to reassign the task, or choose I'm not the correct renewal assignee, and I don't know who is responsible for this renewal to skip the task.

      • If your IT administrator only allows you to skip the task, click OK in the confirmation window to skip the task.

    • Reassign this task – Click this link, specify a new assignee, and click OK to reassign this task.

  • View group/team ownership – You can view the group/team ownership information in the Ownership area.

  • View member statistics – You can view the following member statistics information in the Member statistics area:

    • Total members – The amount of group/team members.

    • External users – The amount of external users in the group/team.

  • View group team site activity information – You can view the following group team site activity information in the Activity area:

    • Last active time – The last active time of the site.

    • Storage – The current site storage quota and the used storage quota.

    • Sharing links

To start the renewal process, click Start renewal.
