Manage Automatic Viva Engage Community Lifecycle Management Tasks

Automatic Community Lifecycle Management tasks include Viva Engage community inactivity threshold tasks and Viva Engage community lease expiration tasks. These tasks will be automatically generated if the following conditions are met:

  • A community has a lease or inactivity threshold enabled.

  • The community lease has expired, or the community inactivity threshold is reached.

As a community contact or admin, you are responsible for managing the automatically generated lifecycle task for a community. The task is added to the Confirmations section in your To-do list or the My tasks report.

NOTE

Apart from the Continue access action, other actions will be available only when your administrator enables the corresponding lifecycle actions in community policies.

Refer to the instructions in the sections below to manage community inactivity threshold tasks and community lease expiration tasks.

Continue Viva Engage Community and Viva Engage Community Site Access

For a community inactivity threshold task, you can continue allowing access to the Viva Engage community and the corresponding community site. Follow the steps below:

  1. You can view a community inactivity threshold task in the following areas:

    • In your To-do list, locate a task and click the view button to go to the task details panel.

    • In the My tasks report, locate a task and click the summary to view the task details in a panel.

  2. Click Continue access on the ribbon.

  3. A panel appears asking for your confirmation. You can enter comments in the panel. When you finish, click OK to confirm.

Extend a Viva Engage Community Lease

For a community lease expiration task, you can request to extend the lease of the Viva Engage community. Follow the steps below:

  1. You can view a community lease expiration task in the following areas:

    • In your To-do list, locate a task and click the view button to go to the task details panel.

    • In the My tasks report, locate a task and click the summary to view the task details in a panel.

  2. Click Extend lease on the ribbon. The Extend lease of {Workspace Name} page appears.

  3. The lease extension period is displayed if your administrator has defined it. If the field is available to configure, define the amount of time to extend the lease period.

  4. You can enter comments for the lease extension. When you finish, click Submit.

Delete a Viva Engage Community

For both community inactivity threshold tasks and community lease expiration tasks, you can request to delete the Viva Engage community. Follow the steps below:

  1. You can view a community inactivity threshold task and lease expiration task in the following areas:

    • In your To-do list, locate a task and click the view button to go to the task details panel.

    • In the My tasks report, click the summary to view the task details in a panel.

  2. Click Delete on the ribbon.

  3. A pop-up window appears asking for your confirmation. Click OK, and the Delete {Workspace Name} page will appear.

  4. You can enter comments for the community deletion. When you finish, click Submit.
