What Can I Do as a Loop Workspace Contact or Owner?

As a Loop workspace contact or owner, you are responsible for assessing and reviewing your Loop workspace.

You can access the Loop workspace renewal tasks in Tasks and to-dos within MyHub. Click Start task in the task row to go to the Renew Loop workspace page and follow the instructions below to complete the renewal process.

Renew Loop Workspaces

Before starting the renewal process, you may see one or both of the following intake questions based on your IT administrator’s configurations:

Contacts and users labeled as “Inactive” are those who have either been blocked from signing in or deleted from Microsoft 365.

  1. Are you responsible for this Loop workspace?

    • Yes – You will proceed to the next intake question, or the renewal process will begin.

    • No – The I am not responsible for this task window appears and you may see one of the following contents based on your IT administrator’s configuration.

      • If your organization allows you to reassign or skip the task:

        • To reassign the task, choose I’m not the correct renewal assignee, but I know who is now responsible for this renewal and specify the new assignee.

        • To skip the task, choose I'm not the correct renewal assignee, and I don't know who is responsible for this renewal.

        Click OK to proceed.

      • If your IT administrator only allows you to skip the task, click OK in the confirmation window to skip the task.

      • If your IT administrator only allows you to reassign the task, specify the new assignee and click OK.

    • Cancel – This will exit the task without changes.

  2. Do you still need this Loop workspace?

    • Yes – The renewal process will begin.

    • No – The Delete this Loop workspace window appears, click Delete to delete this Loop workspace if you no longer require it.

    • Cancel – This will exit the task without changes.

While answering the intake questions, you can view the following Power Pages site information:

  • Primary contact

  • Secondary contact (if any)

  • Owners

  • Editors

  • Created date

For additional details, click View details in the upper-right corner to open the View details window.

Start Renewal

Complete the following steps to renew the Loop workspace. Note that the steps below list all renewal options provided by AvePoint Cloud Governance. The information available to you for review and update is defined by your IT administrator.

  1. Contact – Review the current primary and/or secondary Loop workspace e contact to check whether they are still correct. You can perform the following actions on the Loop workspace contact if necessary. Note that the primary contact and secondary contact cannot be the same person.

    • Edit primary contact – To update the primary contact, complete the following steps:

      1. Click Change contact.

      2. In the Update primary contact panel, enter the name of a user to be the primary contact, and then click Save to save your configurations.

        You can also choose a primary contact from the existing owners, and the owner you select will be the new primary contact.

    • Edit secondary contact – To edit the secondary contact, complete the following steps:

      1. Click Change contact.

      2. In the Update secondary contact panel, enter the name of a user to be the secondary contact, and then click Save to save your configurations.

        You can also choose a secondary contact from the existing owners, and the owner you select will be the new secondary contact.

    • Add primary contact – To add a primary contact, complete the following steps:

      1. Click Add primary contact.

      2. In the Add primary contact panel, enter the name of a user to be the primary contact, and then click Save to save your configurations.

        You can also choose a primary contact from the existing owners, and the owner you select will be the primary contact.

    • Add secondary contact – To add a secondary contact, complete the following steps:

      1. Click Add secondary contact.

      2. In the Add secondary contact panel, enter the name of a user to be the secondary contact, and then click Save to save your configurations.

        You can also choose a secondary contact from the existing owners, and the owner you select will be the secondary contact.

    • Remove secondary contact – To remove the secondary contact, click the remove button in the upper-right corner.

    If you want to clear all the contact changes that you made, click Reset all.

    When you finish, click Continue to proceed.

  2. Sensitivity label – Review the sensitivity label applied to the Loop workspace.

    If necessary, you can change the sensitivity label by selecting the I want to change sensitivity label to checkbox and selecting a sensitivity label from the drop-down list.

    When you finish, click Continue to proceed.

  3. Permissions – Review the permissions of the Loop workspace. If necessary, you can perform the following actions:

    • Add users – To add users to the Loop workspace, complete the following steps:

      1. Click Add above the table.

      2. In the Add users panel, select the permission you want to add to the new users and specify the users.

      3. Click OK.

    • Remove users – Select the users you want to remove from the Loop workspace and click Remove above the table. To remove a specific user, click the Remove button next to the user.

    • Demote to editor – To demote Loop workspace owners to editors, select the owners and click Demote to editor above the table. To demote a specific owner, click the Demote to editor button next to the owner.

    • Promote to owner – To promote Loop workspace editors to owners, select the editors and click Promote to owner above the table. To promote a specific editor, click the Promote to owner button next to the editor.

    To revert changes, click the revert button next to your changes.

    If you want to clear all the permission changes that you made, click Reset all on the ribbon.

    When you finish, click Continue to proceed.

  4. Metadata – Review the current metadata values to check if they are still correct. If necessary, you can update the metadata values.

  5. When you finish, click Submit to submit your renewal changes.
