Export to PDFThe new SharePoint permission review process is split into two steps: Users with direct access and Group. Users and groups that have unique permission to the site collection are listed correspondingly. You can perform the following permission updates for each step:
View and update permission – To view a user’s or group’s unique permission to the site collection, select the user/group and click View permissions above the table. Alternatively, you can click the View permissions button in the user/group row. The View permissions window appears.
In this window, you can see which objects in the site collection have unique permissions assigned to the user or group, along with their risk level. The following permission management actions are available for the user and group views:
User view
Revoke access – Click the Revoke access button in an object row to revoke the current user’s directly granted access to the object.
Update user permission – Click the permissions under the Permissions column. In the permission drop-down list, select the permissions you want to grant to the user or deselect the permissions you want to remove from the user. Then, click anywhere outside the drop-down list to save your edits.
Permissions inherited from the site collection administrators group cannot be changed.
Remove all directly granted access – Click Remove all directly granted access at the bottom of the window to remove all access that has been directly granted to the current user for the listed objects.
Open in browser – Click the link under the object name to open the object in SharePoint.
Group view
Revoke access – In the Permissions tab, click the Revoke access button in an object row to revoke the current group’s directly granted access to the object.
Update user permission – In the Permissions tab, click the permissions under the Permissions column. In the permission drop-down list, select the permissions you want to grant to the group or deselect the permissions you want to remove from the group. Then, click anywhere outside the drop-down list to save your edits.
View group member – In the Users tab, you can view the group members and their types. You cannot add or remove members from this group, however, you can remove group access if the members should no longer have access to the current site collection.
Remove all directly granted access – Click Remove all directly granted access at the bottom of the window to remove all access that has been directly granted to the current group for the listed objects.
Open in browser – Click the link under the object name to open the object in SharePoint.
Remove from site collection – Select one or more users or groups and click Remove from site collection above the table, or you can click the Remove from site collection button to remove a specific user or group from the site collection.
Site collection administrators and default Members groups cannot be removed from site collections.
If you want to clear all the SharePoint permission changes that you made, click Reset all above the table.
In the classic user based view, you can perform the following actions:
View and Update Permissions – To view and update the permissions of a user or group, select the user or group in the list, and click View permissions on the ribbon, or click More actions > View permissions to open the permission details panel. In the panel, you can see all objects to which the user or group has permissions. Based on how permissions to objects are granted, the actions you can perform vary as follows:
Direct sharing – If the permissions are granted by Direct sharing, you can perform the following actions:
Open in browser – To open the object in SharePoint, click the link of the object, or click More actions > Open in browser.
Revoke access – Click Revoke access on the ribbon, or click More actions > Revoke access to remove the user/group access to the object.
Edit permission – Click Edit permission on the ribbon, or click More actions > Edit permission to modify the user/group permission to the object. In the panel, select one or more permissions that you want to grant to the user or group. If you want to remove a specific permission that has been granted, deselect the checkbox.
When you finish, click Update permissions.
If you want to clear all the changes that you made, click Reset all on the ribbon.
If you edit group permissions to the object, the permissions will be granted to all group members.
Inherited from SharePoint group – If the permissions are inherited from a SharePoint group other than the site collection administrators group, you can perform the following actions:
Open in browser – To open the object in SharePoint, click the link of the object, or click More actions > Open in browser.
Remove from SharePoint group – Click Remove from SharePoint group on the ribbon, or click More actions > Remove from SharePoint group to remove the user/group from the SharePoint group from where permissions to the object is inherited.
Removing a user or group from the SharePoint group will remove their permissions anywhere in the site where the SharePoint group has been granted permissions.
Inherited from SharePoint group (Site collection administrators) – Permissions inherited from the site collection administrators group cannot be changed. You can open the object in SharePoint, click the link of the object, or click More actions > Open in browser.
If you want to clear all the changes that you made, click Reset all on the ribbon.
Note the following:
Site collection administrators cannot be removed from site collections.
Removing users and groups from site collections will remove their permissions anywhere in the site collections. If the permissions are inherited from SharePoint groups, the users and groups will be removed from the SharePoint groups as well.
If you want to clear all the SharePoint permission changes that you made, click Reset all on the ribbon.
