Confirm Governance Details for Site Collections

    Your organization may have site collections that are not created via AvePoint Cloud Governance requests. These site collections can be imported into AvePoint Cloud Governance so that they can be managed by AvePoint Cloud Governance.

    When a site collection is imported into AvePoint Cloud Governance via the automatic import process, and you are designated as the primary site collection contact, you are responsible for confirming governance details for the site collection.

    1. You can view the Confirm Governance Details task in the following areas:

      • In the new MyHub experience > Tasks and to-dos, click Start task to access task landing page.

      • In the legacy MyHub experience, you can find the task using one of the following methods, and click Confirm governance details to start the task:

        • Click Workspaces in the left pane. Locate a site collection with the Action pending column value of Confirm governance details. Click the site collection title to view the details of the site collection in the panel.

        • On the Home page, navigate to the Confirmations section in your To-do list. The site collections that need your confirmation are displayed. You can filter the tasks by Due date or Created date. Locate a site collection and click the view button to view the details of the site collection in the panel.

        • In the My tasks report, you can filter the tasks by Status, Task type, Due date, etc. Then, locate a task that needs your confirmation and click the summary to view the task details.

    2. Your task experience may vary depending on your IT administrator’s configurations:

      • If you are taken to one of the following pages, refer to Site Collection Overview and Confirm Governance Details sections to complete the confirm governance details task.

        • New landing page – If you see intake questions at the bottom of the page, you are on the new landing page.

          NOTE

          When there are no available intake questions, the Confirm governance details button is displayed in the lower-right corner of the page.

        • Classic landing page – If you see the Confirm governance details button in the upper-right corner, you are on the classic landing page.

      • Otherwise, continue the following steps to complete the renewal process.

    3. Complete the following settings:

      • Notes – Read the notes from your administrator.

      • Primary site collection contact confirmation – Identify if you are the primary contact for the site collection.

        • If you choose Yes, I’m the primary site collection contact, continue with the settings below.

        • If you choose No, but I know who is the primary site collection contact, enter the name of the correct contact. After you reassign the task, you’ll no longer see the confirm governance details task.

        • If you choose No, and I don’t know who is the primary site collection contact, the site collection will be assigned to the administrator contact of the automatic import process.

      • Site collection information – Enter the name of a user as the Secondary site collection contact. Select a Policy for the site collection.

      • Metadata – If there is metadata applied to the site collection, enter or select metadata values.

    4. When you finish, click Submit.
