The following features are in preview in the AvePoint Cloud Governance insider environment, and they will be available in the commercial and U.S. Government environments on the general availability dates. For additional technical information on the new functionality and known issues, see the Release Notes.
The following features are now available in the Cloud Governance admin center:
The following dynamic service updates are available in Management > Dynamic services:
A new Change shared mailbox settings service allows business users to request to change the shared mailbox name, alias, email addresses, Exchange global address list, automapping, automatic replies, forwarding, sent items, and policies.
The Create site collection service now supports selecting Newly added users as conditions or switches.
Change shared mailbox permission service updates:
The Change shared mailbox permissions setting is now available, allowing business users to change the permission levels assigned to users for the shared mailbox.
Hybrid shared mailbox containers are now available to be selected to add as the service scope.
Create shared mailbox service updates:
The Shared mailbox members setting has been renamed to Read and manage (full access).
The Shared mailbox permissions setting is now available, allowing you to add permissions to the users for the shared mailbox and configure the permission settings, including adding and removing users, and managing their permissions.
Automapping can be enabled for users of a shared mailbox through the Cloud Governance database. Any users added through Cloud Governance will follow this global setting.
If your tenant has the Multi-Geo Capabilities in Microsoft 365 service plan, the Multi-geo locations setting is now available in the Create team service, allowing teams to be provisioned in preferred geo locations.
Change site settings service updates:
By using the Change site storage setting, you can now allow business users to decrease the storage limit via requests for this service. You can also predefine the amount of storage that can be changed per request. Any notifications triggered when a site approaches its allocated storage will be automatically updated with the new storage limits.
The Limit external sharing by domain setting is now available when the Change site settings service scope is inherited from a previous provisioning service. By configuring this setting, business users are required to specify external sharing settings during provisioning requests to strengthen security and prevent unauthorized external access.
Manage permissions service updates:
When configuring the service scope, You can now choose the object types that can be managed via requests for this service .
You can now specify associated SharePoint group roles to be excluded from request forms, ensuring groups are correctly recognized and excluded even when a site name changes
Requests that do not include any permission changes are now prevented from being submitted
The following profile updates are available in Management > Profiles & templates:
When creating a Shared mailbox renewal profile, the User-based permissions renewal option is available, allowing renewal task assignees to manage user-level permissions during a renewal task, including adding or removing users and modifying user permissions.
Dynamic metadata profiles have now expanded support to renewal and automatic import profiles. For details on how to enable metadata auto-assignment in profiles, refer to Using Dynamic Metadata Profiles for Auto-assignment.
The multitenant organization user filters are now available when configuring people picker profiles. With the filters applied, users from different domains from the current one will be validated during the shared channel management process to avoid failed requests caused by invalid user submissions.
In team renewal profiles, you can now choose people picker filter profiles, with multitenant organization user filters configured, for shared channel ownership and membership renewal, which ensures owners and members specified in the service requests are validated against the organization’s B2B Direct Connect settings before submission.
When configuring Choice metadata, you can now define metadata names in multiple languages. When business users have a personal language that matches one of the configured language mappings, the metadata name will be displayed in their preferred language across the MyHub interface, emails, and request forms, improving clarity and adoption in multilingual environments.
The $Object metadata ("Metadata name") role has been added for identifying who is responsible for renewal tasks within the renewal stages in Stage profiles.
The Comments reference can now be added to the new email template for passback notifications.
The following update is available in System settings:
Due to Microsoft’s update to the authentication method for actionable messages, we recommend tenants that have enabled Actionable messages in Email settings update their configurations before March 31, 2026 to avoid service interruption. For instructions on updating the configurations, refer to How do I update actionable message settings to support Microsoft’s new token authentication?.
If the settings are not updated, actionable messages will continue to function only until March 31, 2026.

Cloud Governance is now available in the South Africa North (Johannesburg) data center.
Microsoft Entra groups connected to teams, Microsoft 365 Groups, and communities, which are with the same name as default SharePoint Owners or Members groups, are now hidden from the renewal tasks and Manage permissions service requests, ensuring consistency across modern and classic workflows and preventing accidental deletion.
The Cloud Governance Panel app has been fully retired. If your tenant has not yet transitioned, we recommend installing the new Site Information Card app, which is the upgraded replacement for the Cloud Governance Panel app and provides enhanced functionality. For details on installing or upgrading to the Site Information Card App, refer to Manage Site Information Card.
You can now create cleaner, more focused new MyHub dashboards for end users in the MyHub admin center, making it easy to hide unused components and highlight key governance insights.
Cloud Governance is now integrated with EnPower for metadata creation. Any metadata created in EnPower is automatically synchronized to Cloud Governance.
