Export to PDFAutomated escalation profiles for Microsoft 365 Groups can enable an automated escalation process when the group management task, such as renewal task, is not completed within the specified time.
To access Automated escalation profiles, click the Automated escalation profiles card on the Profiles & templates page.
To define automated escalation profiles for Microsoft 365 Groups, click Create > Automated escalation profile for Microsoft 365 Group on the ribbon to open the Create escalation profile for Microsoft 365 Group panel and configure the following settings:
Profile name – Enter a name for the automated escalation profile for Microsoft 365 Groups.
Description – Enter a description for the automated escalation profile for Microsoft 365 Groups.
Stage one – Configure how to manage a Microsoft 365 Group when the group management task is not completed within the specified time. Choose one of the following two escalation actions from the drop-down list as the first stage escalation:
Restrict access to the group – With the option selected, enter a number in the text box and select Days, Weeks, Months, Years as the unit of time. If a group management task has not been completed and has been overdue for your specified time, access to the group will be restricted.
You can choose to Microsoft 365 Archive the group team site. When access to the group is restricted, the group team site will be Microsoft 365 Archived.
This option is only available when the Microsoft 365 Archive services is enabled in your Microsoft 365 admin center and you are using the commercial environment.
Select a Microsoft 365 Group limit access profile to determine how group membership and group team site permissions are managed when access to the group is restricted.
You can choose to Send a reminder email to the task assignees before the escalation, and then select a reminder profile from the drop-down list.
You can choose to notify specific people when the escalation action is executed, and then specify users or groups (Microsoft 365 Groups, distribution groups, or mail-enabled security groups) as the email notification recipients. You can also enter $ to select from available user roles. Then, select an email template from the drop-down list, and the escalation notification email will be sent in your selected email template.
The "$Current task assignee" role refers to the assignees of the current confirm governance details, renewal, or contact election tasks.
Delete the group – With this option selected, enter a number in the text box and select Days, Weeks, Months, or Years as the unit of time. A delete group task will be generated if the group management task has not been completed and has been overdue for your specified time.
You can choose to Use an approval process for this automated action, and then select an approval process from the drop-down list.
You can choose to Send a reminder email to the task assignees before the escalation, and then select a reminder profile from the drop-down list.

Opus Archive the group – If you have an available subscription to AvePoint Opus, you can choose Opus Archive the group as the escalation action. With this option selected, enter a number in the text box and select Days, Weeks, Months, or Years as the unit of time. The group will be archived via Opus if the group management task has not been completed and has been overdue for your specified time.
You can choose to Enable membership and group team site permission changes before group Opus Archiving. Select a Microsoft 365 Group limit access profile from the drop-down list. You can click View profile details to view the details of the selected Microsoft 365 Group limit access profile. You can also click the create button to create a new profile. For more information about how to create a Microsoft 365 Group limit access profile, refer to Configure Microsoft 365 Group Limit Access Profiles.
To retrieve the latest Microsoft 365 Group limit access profiles that are available, you can click the refresh button.
You can choose to Use an approval process for this automated action, and then select an approval process from the drop-down list.

If you choose Restrict access to the group as the first stage escalation action, you can configure the second stage escalation.
Stage two – When you choose Restrict access to the group as the first stage escalation, you can choose to Delete the group, Microsoft 365 Archive the group team site, or Opus Archive the group as the second stage escalation, or not take any further action after the first stage configuration. If you choose to delete the group, Microsoft 365 Archive the group team site, or Opus Archive the group, configure the following settings:

If you choose Opus Archive the group as the stage two escalation action, you can choose to Enable membership and group team site permission changes before group Opus Archiving. Select a Microsoft 365 Group limit access profile from the drop-down list. You can click View profile details to view the details of the selected Microsoft 365 Group limit access profile. You can also click the create button to create a new profile.
