Export to PDFA Viva Engage community external sharing profile can be applied to a community site to enable unique guest access or external sharing settings for communities and community sites. Communities with the profile applied can have more restrictive settings than the global configurations in the Microsoft 365 admin center.
To access External sharing profiles, click the External sharing profiles card on the Profiles & templates page.
To define external sharing profiles for groups, click Create > Microsoft Viva Engage community external sharingprofile on the ribbon to open the Create Viva Engage external sharing profile panel and configure the following settings:
Profile name – Enter a name for the community’s external sharing profile.
Description – Enter a description for the community’s external sharing profile.
Tenant – Select a Microsoft 365 tenant from the drop-down list.
Set unique external sharing settings for the Viva Engage community site – Choose what users the Viva Engage community site content is allowed to be shared with:
Anyone
New and existing external users
Existing external users
Only people in your organization
Set unique sharing permissions for the Viva Engage community site – Select one of the following options to manage unique permissions for sharing the Viva Engage community site, files, and folders:
Site owners, site members, and people with the Edit permission can share files and folders. Only site owners and members can share the site.
Site owners, site members, and people with the Edit permission can share files and folders. Only site owners can share the site.
Only site owners can share the site, files, and folders
Set unique request settings for the Viva Engage community site – You can choose to allow users to request access to the Viva Engage community site by turning on the toggle .
With the unique access request settings enabled, you can select the Allow access requests checkbox to allow users to request access to the community site of the community applied with this profile. Then, select who will receive access requests on the community site:
Send access requests to the site admins
Send access requests to a certain email address – Enter the email address of the approver or enter the $Primary contact or $Secondary contact user role in the text box.
You can also define a custom message that can be shown to users who see the access request page. Enter your custom message in the text box.
Click Save to save all your configurations.
