Export to PDFA team archiving profile can be applied to a team to define how to manage team membership, team site permissions, and channel sites when teams are archived in AvePoint Cloud Governance.
To access Team archiving profiles, click the Team archiving profiles card on the Profiles & templates page.
To define archiving profiles for teams, click Create on the ribbon to open the Create team archiving profile panel and configure the following settings:
Profile name – Enter a name for the team’s archiving profile.
Description – Enter a description for the team’s archiving profile.
Team membership – To manage the team membership, configure the following settings:
Remove all team members – Select this option to remove all team members when a team is archived.
Change team owners – Choose to Remove all team owners or Demote all team owners to team members when a team is archived.
If you choose to change team owners, you must enter at least one username in the text box to Assign the team owner role to the specified users while archiving the team.
When a private/shared channel only has one owner and the channel owner is exactly the team owner or member, if you select to remove all team owners or remove all team members in the team archiving profile, the channel will be deleted once the team is archived. The channel cannot be restored even if the team is restored.
If all users that you specified here are in different Microsoft 365 tenants, none of them will be assigned as team owners while the team is archived. The Microsoft 365 account that is used to create a Microsoft Entra ID app profile in AvePoint Online Services will be assigned as the team owner when the team is archived.
Team site permissions – To manage the team site permissions, configure the following settings:
Change team site permissions – Select this option to change team site permissions when a team is archived.
If you choose to change team site permissions, select one of the following team archiving results when a team is archived. Note the corresponding team restore results for the team site if you change the team site permissions.
Make the site read-only for team members – When an archived team is restored, team members’ permissions will be restored.
Make the site read-only for all users except the team owners – When an archived team is restored, users’ permissions to the team site will not be restored.
Remove all site permissions from users except the team owners – When an archived team is restored, users’ permissions to the team site will not be restored.
Lock the team site – Select this option to lock the team site. When an archived team is restored, the team site will be unlocked. You can choose one of the following statuses for the locked team site:
Lock the site in “no access” status
Lock the site in “read-only” status
Click Save to save your configurations.
