Export to PDFA Viva Engage community contact election profile can be applied to a community to define the automated contact election process. With the profile applied, an automated contact nomination process will be triggered to determine the community contact when the original primary or secondary contact is deactivated.
To access Contact election profiles, click the Contact election profiles card.
To define contact election profiles for communities, click Create > Viva Engage community contact election profile on the ribbon to open the Create Viva Engage community contact election profile panel and configure the following settings:
Profile name – Enter a name for the community’s contact election profile.
Description – Enter a description for the community’s contact election profile.
People picker filter profile for primary contact – Select a people picker filter profile from the drop-down list. The filter settings will be applied to the primary community contact people picker fields in the election task. After selecting a people picker filter profile, you can click View profile details to view the details of the profile.
You can also click the create button or go to Management > Profiles & templates > People picker filter profiles to create a people picker filter profile. For more instructions, refer to Configure People Picker Filter Profiles.
People picker filter profile for secondary contact– Select a people picker filter profile from the drop-down list. The filter settings will be applied to the secondary community contact people picker fields in the election task. After selecting a people picker filter profile, you can click View profile details to view the details of the profile.
You can also click the create button or go to Management > Profiles & templates > People picker filter profiles to create a people picker filter profile. For more instructions, refer to Configure People Picker Filter Profiles.
Trigger a contact election task when there is no secondary contact – With this checkbox selected, a contact election task will be triggered when there is no secondary contact for the community.
Specify users or groups as election task assignees when both primary and secondary contacts are deactivated or the election task is overdue – Enter names of users or groups (Microsoft 365 Group, distribution group, security group, or mail-enabled security group) in the text box. You can also specify the $Object admin role, which refers to the Viva Engage community admins as contact election task assignees. When both primary and secondary community contacts are deactivated or the contact election task is overdue, an election task will be assigned to specified users who will be responsible for the primary or secondary contact election.
Note the following automated nomination processes with the profile applied to the community when either of the community contacts becomes deactivated:
If the primary contact is deactivated and the secondary contact is active, an election task will be sent to the secondary contact. The secondary contact will be able to assign the primary and secondary contact.
If the secondary contact is deactivated and the primary contact is active, an election task will be sent to the primary contact. The primary contact will be able to assign the primary and secondary contact.
Choose whether to Notify the following people when both the primary and secondary contacts are deactivated. With the notification enabled, add users, groups (Microsoft 365 Groups, distribution groups, or mail-enabled security groups), or enter $ to select community members who will be notified.
Email settings – Choose whether to enable the following email notifications when an election task is assigned. With the notification enabled, choose an email template from the drop-down list.
Notify the nominated user when the election task is assigned
Notify the primary contact when the community is assigned
Notify the secondary contact when the community is assigned
Duration – Configure the following settings to define the duration and notification for the election task assignees to complete the contact election task:
Specify a duration for the nominated user to complete the task – Enter a number in the text box and select Days, Weeks, or Months as the unit of time.
Choose whether to Remind the nominated user before the election task expires. With the reminder enabled, select a reminder profile from the drop-down list.
Escalation – Choose whether to Enable an escalation if the contact election task is not completed within the specified duration. With the escalation enabled, choose from the following options to determine how to enable an escalation action:
Use the selected escalation profile – With the option selected, select an automated escalation profile for the community from the drop-down list.
You can click View profile details to view the details of the selected escalation profile for community. You can also click the create button to create a new profile. For more information about how to create an escalation profile for community, refer to Configure Automated Escalation Profiles for Viva Engage Communities.
Automatically assign a secondary contact when a single contact is deactivated and the election task is overdue – With the option selected, enter the name of a user, or you can enter $ to select the $Manager of original active contact role as the secondary contact.
Choose whether to Notify the user when they are assigned as primary contact. If you enable the notification, select an email template for the notification email from the drop-down list.
Choose whether to Notify the user when they are assigned as secondary contact. If you enable the notification, select an email template for the notification email from the drop-down list.
Administrator contact – Specify a user or group (Microsoft 365 Group, distribution group, security group, or mail-enabled security group) to be the administrator contact. This should be an administrator who is responsible for the contact election process.
You can choose whether to Notify the administrator contact when the election task is overdue or an error occurs. With the notification enabled, select an email template from the drop-down list.
Click Save to save all your configurations.
