AvePoint Cloud Governance September 2022

Release Date for the Commercial Environment: September 4, 2022

Release Date for the U.S. Government Environment: September 11, 2022

What’s new in the new Cloud Governance admin center?

- IT administrators can now configure a dynamic service in **Management** > **Dynamic services**, which allows them to configure a request form with logic branching and in-form validation. Services, such as Create team services and Create library services, Conditions, switches, custom actions, or metadata can be added to a dynamic service. They can also use an approval process to obtain approval for an operation in AvePoint Cloud Governance. - When IT administrators add a Create team service to a dynamic service in **Management** > **Dynamic services** and configure the **Contact**, **Team owners**, and **Team members** in the service, they can limit what users are searchable and can be chosen in the end user request form by selecting a people picker filter profile to apply the filter settings. - IT administrators can now configure a team renewal profile in **Management** > **Profiles & templates** > **Renewal profiles**. A team renewal profile can be applied to a team to determine the schedule and governance details that must be confirmed when a team goes through the renewal process. - To configure a Create team service in a dynamic service in **Management** > **Dynamic services** or configure a team renewal profile in **Management** > **Profiles & templates** > **Renewal profiles**, a tenant needs to re-authorize the Azure AD app for the additional Microsoft Graph API application permission **TeamMember.ReadWrite.All** to add or remove members from teams. Go to AvePoint Online Services > **App Management** to re-authorize the app. If a tenant is using the custom Azure app, make sure the custom app has the **TeamMember.ReadWrite.All** permission and re-authorize the app. - IT administrators can now import their custom library templates in **Management** > **Profiles & templates** > **Library templates**. The library templates will be available to be selected in a Create library service. To use the custom library templates, Azure Blob storage and Azure function app settings are required to be configured. - IT administrators can now configure an external sharing profile for a team and group team site in **Management** > **Profiles & templates** > **External sharing profiles**. In an external sharing profile, IT administrators can configure unique guest access or external sharing settings for teams and group team sites. Teams with the profile applied can have more restrictive settings than the global configurations in the Microsoft 365 admin center. - IT administrators can now configure a team contact election profile in **Management** > **Profiles & templates** > **Contact election profiles**. A team contact election profile can be applied to a team to define the automated contact election process. With the profile applied, an automated contact nomination process will be triggered to determine the team contact when the original primary or secondary contact is deactivated. When configuring the task duration in a team contact election profile, IT administrators can choose to **Enable an escalation if the election task is not completed within the specified duration**. With the escalation enabled, IT administrators need to select an automated escalation profile for teams. - IT administrators can now configure a team quota management profile in **Management** > **Profiles & templates** > **Quota management profiles**. In a quota management profile, IT administrators can allocate a storage quota for the group team site as well as set the quota threshold. - IT administrators can now manage AvePoint Cloud Governance terminologies in **Settings** > **System settings** > **Look & feel** > **Terminology management**. - In **Workspace report**, IT administrators can now manually trigger contact election tasks for workspaces by selecting one or more workspaces and clicking **Contact** > **Trigger workspace contact election task** on the ribbon. - In **Workspace report**, IT administrators can now lock or unlock Microsoft group team sites or Yammer community sites by selecting one or more workspaces and clicking **Action** > **Lock site** or **Unlock site** on the ribbon. - In **Workspace** **report**, IT administrators can now filter workspaces whose primary contacts or secondary contacts are inactive using the **Inactive primary contact** or **Inactive secondary contact** columns. - If a renewal task assignee completed the workspace renewal task and confirmed no changes were required, there is now a renewal completion record in the workspace management timeline in **Workspace report**. IT administrators can export a renewal report containing the workspace information and renewal actions by clicking **Export renewal audit report** in the **Renewal details** panel. - IT administrators can now choose to **Allow private channels to follow the site quota, external sharing settings, and access settings of their parent teams** in **Settings** > **System settings** > **Private channel settings**. By enabling the option, the site quota, external sharing settings, and access settings of all private channels will follow the settings of the policy or profile applied to their parent teams during the following management processes: - Apply profile - Apply policy - Import process (With the **Keep group team site quota during the import process** option not selected in the automatic import profile) - Create private channel request - Change quota request - Change policy request - IT administrators can now choose to **Show custom lock messages on the classic site pages** in **Settings** > **System settings** > **Site collection lock messages**. Note that the footer message and the custom background color of the header are not supported on the classic site pages. The footer message that IT administrators configured will be shown in the header, and the default header background color is always yellow. - A new reference **Locked by** is now newly available to be inserted in the header and footer messages in **Settings** > **System settings** > **Site collection lock messages**, which shows who locked the site. - IT administrators can now add multiple Microsoft 365 accounts as the email sender in **Settings** > **System settings** > **Email settings**. When the recipients’ number of an email sender reaches the sending limit per day, another specified account will be used to send emails as the email sender. - In **Request report**, there are now two new **Modified by** and **Modified time** columns showing who modified the request and the modified time.

What’s new in the classic Cloud Governance admin center?

- When configuring the **Import options** in an automatic import profile for site collections in **Settings** > **Import Existing Microsoft 365 Objects** > **Automatic Import**, IT administrators can now choose whether to **Synchronize the property value from the site property bag as the metadata value when the property name is the same as the metadata name**. - To reduce the potential occurrence of 429 errors caused by too many requests, with the following timer jobs enabled in **System** > **Timer Service Configuration Management** and the job interval set to be greater than one day, AvePoint Cloud Governance now retrieves all site properties via invoking AvePoint Online Services API rather than retrieve site properties directly from Microsoft 365 via invoking CSOM: - **Site Collection Status Scan Job** - **Site Information Synchronization Job** - **Site Collection Information Synchronization Job** - **Deactivated Site Collection Contact Status Scan Job** - **Deactivated Group/Team/Community Contact Status Scan Job** - **Site Collection Content Archival Scan Job** - **Group/Team Information Synchronization Job**

What’s new in the Cloud Governance Portal?

- Renewal tasks are now having a clear hint providing the administrator information when it is failed to retrieve data, indicating that the renewal task assignees can ask the administrator for assistance. - Renewal tasks now indicate if there is a long loading time on the page to prevent renewal task assignees from canceling the ongoing renewal process. - Hubs now supports displaying and creating teams in Microsoft Teams for Education. When creating a team, you can now select a team template from the following options: **Class**, **Professional Learning Community (PLC)**, **Staff**, and **Other**. - Cloud Governance can now redirect the following URLs to the most current **myhub.avepointonlineservices.com** URLs: - In the commercial environment, go.avepointonlineservices.com is now redirected to **myhub.avepointonlineservices.com**. - In the government environment for Microsoft 365 US GCC, **go-gov.avepointonlineservices.com** is now redirected to **myhub-gov.avepointonlineservices.com**. - In the government environment for Microsoft 365 US GCC High, **go-gcc.avepointonlineservices.com** is now redirected to **myhub-gcc.avepointonlineservices.com**. - When business users are required to specify the Lookup metadata value in the request form, if there is only one available metadata value, this value will be the default option for metadata; if there are multiple available metadata values, **Select** **one** is the default option for metadata. When business users are optional to specify the Lookup metadata value in the request form, **None** is the default option for metadata. If business users keep the metadata value as **None**, no metadata value will be applied after the request is completed.
