What’s new in the new Cloud Governance admin center?

- Private channels in Microsoft Teams create focused spaces for users to collaborate without having to create a separate team. The IT administrator can now configure a Create private channel service in **Management** > **Services** > **Create private channel**. After the IT administrator defines the service for business users, users can submit a request to create a private channel in a team using this service. To create private channels, the Azure AD app in a tenant must have the Microsoft Graph API application permission **ChannelMember.ReadWrite.All**. To reauthorize the app, go to AvePoint Online Services > **App Management**. If a tenant is using the custom Azure app, make sure the app has the **ChannelMember.ReadWrite.All** permission. - The IT administrator can now enable the real-time renewal permission search by integrating with AvePoint Insights for Microsoft 365 in **Settings** > **System settings** > **Renewal permission index**. The integration will ensure the renewal task assignees are always reviewing the latest permission changes when completing the latest renewal tasks. - By default, workspace metadata is saved in the workspace-connected site property bag. Open extensions provide an efficient way of retrieving metadata for AvePoint Auto Discovery and the Cloud Governance management process. The IT administrator can now choose to sync workspace metadata as open extensions to the group resource in **Settings** > **System settings** > **Open extensions configuration**. - When adding a custom team template in **Management** > **Profiles & templates** > **Team templates**, if the IT administrator wants to add a team template in a Microsoft Team for Education type, which is Class, Professional Learning Community (PLC), Staff, or Other, enter one of the following template keys in the Template ID field: - **educationClass** - **educationProfessionalLearningCommunity** - **educationStaff** - **educationStandard** or **standard** - When configuring the guest user welcome message in an Invite new guest user service, the IT administrator can now choose to select a pre-defined welcome email or customize the welcome message. - The IT administrator can now globally set the theme color for AvePoint Cloud Governance or let end users set their preferred theme color in **Settings** > **System settings** > **Theme, logo, and app launcher settings**. - In **Settings** > **System settings** > **Email settings**, the IT administrator can now choose to customize the salutation, signature, and footer in Spanish, Portuguese, or Chinese by configuring the following languages: - **español** **(Espada,alfabetización** **internacional)** - **português** **(Brasil)** - **中文(中国)** - In the **Guest user report**, the IT administrator can now choose one or more guest users and remove them from AvePoint Cloud Governance together with all related information shown in reports. - In the **Workspace report**, the IT administrator can now choose one or more workspaces and remove them from AvePoint Cloud Governance together with all related information shown in reports. - In the **Workspace report**, the IT administrator can now perform the **Delete**, **Apply** **policy**, **Specify contacts**, and **Mail contacts** actions on Yammer communities. - In the **Workspace report**, when the IT administrator selects one or more workspaces to delete, they can now choose whether to remove the workspaces from Cloud Governance at the same time. The selected workspaces and the corresponding workspace information will be removed as well if they choose to remove workspaces. - When the IT administrator performs the following actions on workspaces in the **Workspace report**, if one or more workspaces have ongoing lifecycle management tasks, renewal tasks, or recertification tasks, they can now choose whether to send a cancellation email to the task assignees. - Apply policy - Auto-complete renewal - Restart renewal - Delete - Archive - Lock If the IT administrator chooses to send the cancellation email, they must select an email template used to send the cancellation email. When the IT administrator performs the following actions on guest users in the **Guest user report**, if one or more guest users have ongoing renewal tasks or lifecycle management tasks, they can now choose whether to send a cancellation email to the task assignees. - Apply renewal profile - Restart renewal If the IT administrator chooses to send the cancellation email, they must select an email template used to send the cancellation email. - The following actions that the IT administrator performs in the new Cloud Governance admin center will be recorded in the **User Activity Report** in the classic Cloud Governance admin center: - Create, edit, delete, activate, or deactivate a service/profile - Remove a people picker profile from the service/profile in **People picker filter profiles** - Update system settings in **System settings** - Manage guest users in the **Guest user report** - Create, edit, or delete a modern email template in **Email** **templates** - The appearance of the interfaces in the new Cloud Governance admin center has been improved by adjusting the color contrast ratio.

What’s new in the classic Cloud Governance admin center?

- When configuring the **Completion notification** in the approval process, the IT administrator can now choose whether to **Send an email to the requester when the request is completed**. If they choose to send an email, they can specify additional users and/or groups to be notified when the service request is completed by configuring the **Cc** and **Bcc** field. - Currently, the IT administrator can no longer perform actions for further workspace management in the **Site Collection Report** or **Team, Group, and Community Report** in the classic Cloud Governance admin center. To have additional administrative and reporting functionalities, they can use the **Workspace report** in the new Cloud Governance admin center. - When configuring the **Site Collection Quota Threshold Management** in a site collection policy, the IT administrator can now enter a new role in the format of **$SharePoint Online Group ("$SiteName** **Group Name Suffix")** to specify users in the specific SharePoint Online Groups as the notification email recipients. - The **$Additional Site Collection Administrators** role is now supported to be specified in the following configurations: - Site Collection Policy > **Site Collection Lifecycle Management Request Types** - Site Collection Automated Locking Profile Management > **Site Collection Automated Locking** - Site Collection Renewal Profile > **Duration and Escalation** - Users cannot submit lifecycle management requests for workspaces that have an overdue renewal task to be completed.

What’s new in the Cloud Governance Portal?

- When business users select and add managed metadata in a request form in the Cloud Governance Portal, all the available managed metadata will now be shown in a panel. - For a better user experience, following buttons have been moved to the top bar: **Edit hub**, **Create** **a hub**, **Remove** **from hub**, and **Apply tags**. - In the MyHub web portal and the MyHub Teams app, you can now **Pin** or **Unpin** hubs in the left navigation. - Hubs supports displaying **Sensitivity** and **Classification** labels for workspaces. - If your organization uses the new Cloud Governance Admin Center, in **Hub settings** > **Workspace management**, you can now toggle **Hide "Delete" functionality**. With this setting enabled, end users are not allowed to delete workspaces when they access the workspace details via a hub. - In **Hubs** > **Tag management**, you can now select multiple workspaces to **Remove** a tag or **Undo** the removal. - If your organization uses the commercial version of AvePoint Cloud Governance, the MyHub Teams app from the Microsoft Teams app store now supports customization in the Teams admin center. The icon, name, and description of MyHub can be customized in Teams admin center > **Teams apps** > **Manage apps**. - In Hubs, if a hub is configured to filter workspaces by organizational tags (metadata), the hub can now hide the workspaces marked with the metadata if they are set to be hidden by your organization's administrator. - The appearance of the interfaces in the Cloud Governance Portal has been improved by adjusting the color contrast ratio.

Updates on the Cloud Governance emails

- Classic email templates provisioning is no longer available in the classic Cloud Governance admin center. The IT administrator can now configure modern email templates in **Management** > **Profiles & templates** > **Email templates** in the new Cloud Governance admin center. To help with the ongoing management, a new email template dashboard is available that allows a single place to create, edit, filter, and view details for all the templates. The IT administrator will also have a quick view into where the email template is currently being used. Email templates can now also be exported/imported to help with moving templates between Cloud Governance deployments. When configuring **Email Templates**, the IT administrator can now customize email templates in eight languages: English, Japanese, French, German, Italian, Spanish, Portuguese, and Chinese. - Task links in the notification emails have been updated to provide a more consistent user experience. - For notification emails sent via classic email templates, when business users click the **Task link** in emails, the **My Tasks** page will open, where the task assignee can handle their tasks in AvePoint Cloud Governance. Note the following: - If you enable the **Direct business users to the AvePoint Cloud Governance Portal** option in **Settings** > **Preferred End User Interface** in the classic Cloud Governance admin center, clicking the link will open the task details panel in the AvePoint Cloud Governance Portal. - For a workspace renewal task or confirm governance details task, when business users click the **Task link**, the **My Sites** or **My Teams and Groups** page in AvePoint Cloud Governance will open, and the task assignee can manage a workspace renewal task or confirm governance details for a newly imported workspace. - For notification emails sent via modern email templates, when business users click the **To-do list** in notification emails, the **To-do list** page in the AvePoint Cloud Governance Portal will open. When business users click the **Task link** in an email, the **My Tasks** page will open, where the task assignee can handle their tasks in AvePoint Cloud Governance. Note the following: - If you enable the **Direct business users to the AvePoint Cloud Governance Portal** option in **Settings** > **Preferred End User Interface**, clicking the link will open the task details panel in the AvePoint Cloud Governance Portal. - For a renewal task or confirm governance details task, clicking the link opens the task directly for the task assignee to manage the renewal task or confirm the governance details for a newly imported workspace.
