New features and improvements for integration with Yammer

  • Your organization can now create your own app in your Yammer network and use this custom app for Yammer community management in AvePoint Cloud Governance. To use a custom Yammer app, select Yammer and choose Use a custom Yammer app when creating an app profile in AvePoint Online Services.

  • In the new Cloud Governance admin center, the IT administrator can now configure automatic import profiles for Yammer communities in Management > Profiles & templates > Automatic import profiles. An automatic import profile is used to discover and automatically import new Yammer communities that have been created outside of AvePoint Cloud Governance in a defined schedule so Cloud Governance can manage these communities.

    NOTE

    This feature is not available if an organization is using the Microsoft 365 U.S. Government GCC High environment.

  • The Workspace report in the new Cloud Governance admin center now supports Yammer communities. The IT administrator can view the communities managed by Cloud Governance, use the built-in view All Yammer communities, and export communities to a CSV file.

MyHub Teams app version 1.0.10 supports single sign-on (SSO)

  • The MyHub Teams app has been updated to version 1.0.10 to support single sign-on. Users will not need to sign into the MyHub Teams app any longer after they have signed into Microsoft Teams.

IT administrators need to manually upload the new MyHub app package to your tenant apps catalog if your tenant is using the following environment:

  • AvePoint Cloud Governance Insider environment

  • AvePoint Cloud Governance for U.S. Government and Microsoft 365 Government GCC

  • AvePoint Cloud Governance for U.S. Government and Global Microsoft 365

When the MyHub Teams app is updated to version 1.0.10, in the app, IT administrators need to accept the following required permissions:

  • View your basic profile

  • Maintain access to data you have given it access to

    NOTE

    If the Consent on behalf of your organization checkbox is selected, the IT administrator is consenting on behalf of the organization and no one else within the organization will be prompted to review these permissions.

  • To support MyHub Teams app single sign-on in the MyHub for U.S. Government and Microsoft 365 Government GCC environment, there is now a separate app for authentication. If your organization is using the MyHub for U.S. Government and Microsoft 365 Government GCC environment, the Microsoft 365 global administrator needs to navigate to the MyHub admin center > App profile management and re-authorize the app to consent to the required permissions to the app.

Updates on the AvePoint Cloud Governance connector in Microsoft Power Automate

  • The AvePoint Cloud Governance connector in Microsoft Power Automate now has an additional action: Manage a workspace. The action can be added in a flow to manage an AvePoint Cloud Governance managed workspace. The Restart renewal action type is currently available to be selected.

  • The following actions of the AvePoint Cloud Governance connector in Microsoft Power Automate now support Change Site Collection Settings requests: Get a request, Submit a request, and Update a request.

  • The following actions of the AvePoint Cloud Governance connector in Microsoft Power Automate now support Change Group Settings and Change Team Settings requests: Get a request, Submit a request, and Update a request.

What’s new in the new Cloud Governance admin center?

  • The IT administrator can now configure automatic import profiles for guest users in Management > Profiles & templates > Automatic import profiles. An automatic import profile is used to discover and automatically import new guest accounts that have been created outside of AvePoint Cloud Governance in a defined schedule so Cloud Governance can manage these guest users.

    NOTE

    This feature is not available if an organization is using the Microsoft 365 U.S. Government GCC High environment.

  • In Settings > System settings > Logo and app launcher settings, the IT administrator can now select what apps are displayed in the Cloud Governance app launcher in the Cloud Governance admin center and Cloud Governance Portal. Note that this setting does not change users’ app launcher experience in the native Microsoft 365 interfaces.

  • When configuring E-mail settings in Settings > System settings, the IT administrator can now customize the e-mail salutation and e-mail signature for different languages.

What’s new in the classic Cloud Governance admin center?

  • In an automatic import profiles for groups/teams, when the IT administrator chooses Require end user confirmation as the Automatic Import Method, they can now select a people picker filter profile to limit the people picker fields in the confirm governance details task in the Cloud Governance Portal. The profile will determine what users are visible in the people picker fields including search results.

  • The Create Group/Team service now has the Do not allow duplicate group/team names option in the Group/Team Name and ID field. The IT administrator can enable this option to prevent business users from requesting a new group/team using a name that is the same as an existing one.

  • In an automatic import profile for groups/teams, when the IT administrator chooses Require end user confirmation as the import method, set a duration for the entire automatic import process, and enable automated team archiving as the escalation method, they can now decide whether to Enable team membership and team site permission changes before team archiving. With the option selected, they can select a Team archiving profile.

  • If the IT administrator chooses to Automatically start the ownership election process if either of the group/team contact accounts is deactivated when configuring Deactivated Group/Team Contact Election in a group/team policy, they can now decide whether to Notify the following people when both the primary and secondary contact are deactivated. With the option selected, the IT administrator can specify users or enter $ to specify a user role who will receive a copy of the notification e-mail.

    If the IT administrator chooses to Automatically start the ownership election process if either of the community contact accounts is deactivated when configuring Deactivated Community Contact Election in a community policy, they can now decide whether to Notify the following people when both the primary and secondary contact are deactivated. With the option selected, the IT administrator can specify users or enter $ to specify a user role who will receive a copy of the notification e-mail.

  • If a deactivated workspace contact becomes active after an automated election task is generated, the ongoing election task will be automatically cancelled when Cloud Governance finishes the deactivated workspace contact status scan job.

  • The IT administrator adds a question in a questionnaire and chooses to map the question to metadata on the service. With the mapping enabled, the answer to the question will be automatically set as the mapped metadata value in the request form regardless of whether the default metadata value is assigned by the IT administrator.

  • In a Manage Permissions service > Permission Management Options, when the IT administrator allows business users to Grant permissions and chooses to Send welcome e-mail to the new users, they can now select an e-mail template, and the welcome e-mail will be sent by using the e-mail template.

  • The e-mail reference To-Do List Link in e-mail templates (except for Confirming Governance Details for Group E-mail Template and Confirming Governance Details for Site Collections E-mail Template) and the e-mail reference Renewal Task Link in e-mail templates have been updated to Task Link. Clicking the Task link in a notification e-mail will open the task details panel in the Cloud Governance Portal. For organizations that signed up for AvePoint Cloud Governance before May 9, 2021, the e-mail reference updates will also take effect.

  • There is now a new e-mail reference Task Created Date which indicates the date that a task is generated, and it is available to be added when the IT administrator configures the Task Expired E-mail Template. In addition, the reference Approver is also available to be added in a Task Expired E-mail Template.

  • When configuring a webhook in Webhook Management, the IT administrator can now select the following Workspace lifecycle management related events whose occurrence will trigger the webhook:

    • When the workspace reaches the inactivity threshold

    • When the workspace lease expires

What’s new in the Cloud Governance Portal?

  • Users can now view the Approval history when viewing the details of a request or task. The Approver, Action, Comment, and Modified time of a request are displayed.

  • There is now a My tasks page for users to monitor and process all current tasks or review previous tasks, for example, service requests that need your approval, workspace renewal tasks, confirm governance details tasks, workspace lifecycle management tasks, etc.

  • When viewing a workspace in a hub, on a workspace details page, users can now search for workspace members by display names.

  • Users can now select specific workspaces and create a hub for these workspaces.

  • When configuring a hub and filtering workspaces by multiple tags, users can now select the logical option: Match any single tag or Match all tags.

Resolved Known Issue

  • Resolved an issue where previously when the Allow business user to create a team from scratch option was selected in the Team Template field in a Create Team service, teams were always created from scratch after the request started in Microsoft Power Automate was completed. If IT administrators now allow business users to create Microsoft Teams from scratch, from existing teams, or from team templates in a service, when a request started in Microsoft Power Automate is completed, a team will be created from scratch, from an existing team, or from a team template according to the business user’s configuration in the request.
