View Exposure Report

Public links and content deliveries convert files into an online format that’s available via a link, which you can send to people inside or outside your organization.

In the Public Links exposure report, you can view the public links created on Salesforce files. Anyone with a public link to a file can view and download the file.

In the Content Deliveries exposure report, you can view all content deliveries created on Salesforce files.

NOTE

The exposure reports are only available when the Content Delivery object has been configured in a scan scope container with an assigned risk definition profile. For more information, refer to Scan Scope Definition.

On the Public links page, all public links created on Salesforce files are displayed in the table.

In the table, you can view the completed statistics as below:

  • Name – The name of the public link.

  • File name – The name of the file for which the public link is created.

  • Sensitivity level – The sensitivity level of the file. Click the sensitivity level to view the sensitivity details in the right panel. The Matched conditions section displays the conditions from the risk definition profile that the file meets.

  • Shared by – The user who created the public link.

  • Public link – Click View details to preview the file content. Click the Copy button to the right to copy the public link.

  • Created – The time when the link is created.

  • Expiration date – The expiration date of the public link.

  • File owner – The owner of the file.

  • Password required – The status whether a password is required to access the content.

  • Last viewed – The time when the file is last viewed via the public link.

  • View count – The number of views.

  • Download link – The download link of the file.

  • Modified by – The user who modified the public link.

  • Modified – The last modified time of the public link.

  • File shares – The number of shares for the file.

The following actions are also available on this page.

  • View details – Click View details in the upper-right corner of the page to view the user list who have the access to create public links on the Access > Users page.

  • Filter – Click Filter in the upper-right corner of the table, and the Filter window appears. You can filter the objects displayed in the table using the filter conditions.

  • Manage columns – Click Columns in the upper-right corner of the table, and the drop-down list where all available columns are displayed appears. Select the columns that you want to display in the table, and click Apply to apply the column selection. You can also select the Select all checkbox to show all columns in the table.

  • Export – You can export the summary report for public links using one of the following methods:

    • Click Export for all on the ribbon to export the report of all public links displayed in the table.

    • Filter the public links and then click Export for all to export the report of the filtered public links.

    • Select one or multiple public links and then click Export for selected items to export the report of the selected public links.

    • Hover your mouse over anywhere of a row, click the ellipsis button, and select Export from the drop-down list.

    In the export window, a default report name is automatically filled in, and you can edit it if desired. Click Export to export the report.

    When the export process begins, you can monitor its progress by navigating to Job monitor > Download center or by clicking the Download center link in the prompted message.

  • Remove access – Select one or multiple public links and click Remove access to remove access to the files that is shared via public links. To remove access shared via a specific public link, you can also click the ellipsis button to the right of the public link, and select Remove access from the drop-down list.

  • Refresh – Click Refresh to refresh the public links displayed in the table.

Content Deliveries

On the Content deliveries page, all content deliveries created on Salesforce files are displayed in the table.

In the table, you can view the completed statistics as below:

  • Name – The name of the content delivery.

  • File name – The name of the file for which the content delivery is created.

  • Sensitivity level – The sensitivity level of the file.

  • Shared by – The user who created the content delivery.

  • Delivery link – Click View details to preview the file content. Click the Copy button to the right to copy the delivery link.

  • Created – The time when the link is created.

  • Expiration date – The expiration date of the content delivery.

  • File owner – The owner of the file.

  • Password required – The status whether a password is required to access the content.

  • Last viewed – The time when the file is last viewed via the content delivery.

  • View count – The number of views.

  • Download link – The download link of the file.

  • Notify on first view or download – The status whether the first view or download of this file via the content delivery will be notified.

  • Opens latest version – The status whether the content delivery opens the latest version of the file.

  • Modified by – The user who modified the content delivery.

  • Modified – The last modified time of the content delivery.

The following actions are also available on this page.

  • View details – Click View details in the upper-right corner of the page to view the user list who have the access to create content deliveries on the Access > Users page.
