Create and Run Archive Policies

This section provides an overview on creating and running the following three types of archive policies in Cloud Backup for Salesforce®:

  • For configuration details, refer to Create an Archiving Policy.

Create and Run a Manually Triggered Archive Policy

Complete the following steps to create and run a manually triggered archive policy:

  1. Navigate to Cloud backup for Salesforce® > Archive > Archive policies page. Click the Manage policies button, and then click Create to define a new policy.

  2. Define the scope of your archive policy.

  • Select the connected organization that you are using for the Archive feature.

  • Select an object type you want to archive data for, and configure your conditions or SOQL query.

  • Choose whether you would like to archive related child records, as well as related Content Document.

  1. Configure your archive settings. Set your Retention policy for archived data to be held, after which your archived data will be purged.

For this use case, switch the Enable scheduled archiving setting to off.

  1. Once the policy runs, validate that the selected object data which meet the configured conditions have been removed from your Sandbox environment, and that no relationships, hierarchies, or workflows have been disrupted.

  2. Periodically, click Archive Policies to navigate to the Manage policies page, and click Run now on this policy to archive additional data. Re-confirm that no relationships, hierarchies, or workflows have been disrupted.

Create and Run a Scheduled Archive Policy

Complete the following steps to create and run a scheduled archive policy:

  1. Navigate to Cloud Backup for Salesforce® > Archive > Archive policies page. Click the Manage policies button, and then click Create to define a new policy.

  2. Define the scope of your archive policy.

  • Select the connected organization that you are using for the Archive feature.

  • Select an object type you want to archive data for, and configure your conditions or SOQL query.

  • Choose whether you would like to archive related child records, as well as related Content Document.

  1. Configure your archive settings. Set your Retention policy for archived data to be held, after which your archived data will be purged.

For this use case, switch the Enable scheduled archiving setting to On. Configure your frequency to run on a daily, weekly, or monthlybasis.

  1. Once the policy runs, validate that the selected object data which meet the configured conditions have been removed from your Sandbox environment, and that no relationships, hierarchies, or workflows have been disrupted.

Complete the following steps to create and run an archive policy for records and related child records:

  1. Navigate to Cloud Backup for Salesforce® > Archive > Archive policies page. Click the Manage policies button, and then click Create to define a new policy.

  2. Define the scope of your archive policy.

  • Select the connected organization that you are using for the Archive feature.

  • Select an object type you want to archive data for, and configure your conditions or SOQL query.

  • Choose whether you would like to archive related child records, as well as related Content Document.

  1. Enable the Archive related child objects setting and add at least one child object to the policy.

  2. Configure your archive settings. Set your Retention policy for archived data to be held, after which your archived data will be purged.

  3. Once the policy runs, validate that the selected object data which meet the configured conditions have been removed from your Sandbox environment, and that no relationships, hierarchies, or workflows have been disrupted.
