Deploy Templates

This section describes how to deploy templates created in AvePoint Portal Manager to target workspaces, including SharePoint sites and Microsoft Teams. Deploying a template allows you to apply predefined designs, structures, and components consistently across sites or Teams, helping ensure a unified user experience. The topics in this section guide you through deploying templates to SharePoint sites and Microsoft Teams, so that your templates can be effectively applied and made available to end users.

Deploy a Template to SharePoint Sites

Once the desired template for SharePoint is published, click the template to open the template details page. On the template details page, choose to deploy the template to existing site collections or create new site collections using the template.

  • To deploy the template to existing site collections, select the Existing Site Collections link. You are redirected to the Not Deployed tab. Select the site collections to which you want to deploy the template, and then click Deploy. The deployment starts for each selected site collection. You can deploy up to 5 site collections at one time.

  • To create new site collections using the template, select the New Site Collections link. Complete the basic site collection information, click Add Another to complete another site collection’s information, and then click Create and Deploy. The deployments start.

NOTE

If a service account is the only authentication method and deploys templates to sites without permissions, the service account will be automatically added to the Site Collection Administrator group upon successful deployment.

Deploy a Template to Microsoft Teams

Once the desired template for Microsoft Teams is published, click the template to open the template details page. On the template details page, you can deploy the template to Microsoft Teams as an app or tabs (under the General channel of the selected teams).

NOTE
  • Deployed templates/apps may take some time to appear in your Microsoft Teams client due to the Microsoft synchronization delays.

  • If a service account is the only authentication method and deploys templates to teams without permission to the corresponding team sites, the service account will be automatically added to the Site Collection Administrator group upon successful deployment.

You can only deploy a template as a Teams app once. You can undeploy the template to delete the previously created Teams app and then redeploy it if necessary.

Choose to deploy the template as a Teams app, and then complete the following information:

  1. In the Team App Creation step, complete the following information:

    • App Name – Enter a name for the app.

      NOTE

      Once the app is deployed, its name can no longer be changed due to the API limitations.

    • App Administrators – Enter the user name and select the desired user from the suggestion list. You can add multiple users as app administrators.

    • Short Description – Enter the short description for the app.

    • Full Description – Enter the full description for the app.

    NOTE

    The short description and full description are only available when deploying an app built by Teams app builder.

  2. Click Save and Next to proceed to the next step.

  3. In the Data Storage step, you can create a site or select an existing site to store data for the app.

    • Create a site – Select this option and enter the URL of the site you want to create. Then, select either English or Japanese as the site language.

    • Select an existing site – Select this option and select a site from the site collections table.

  4. Click Deploy to deploy the template as a Teams app.

NOTE

If your tenant has only the custom Azure app configured, additional processes are required when deploying, updating, or undeploying a template as a Teams app. For details, refer to Appendix H - Create, Update, or Delete an App in Microsoft Teams.

Choose to deploy the template as tabs under the General channel, and then complete the following information:

  1. In the Team Selection step, you can create a team or select the existing teams to which you want to deploy the template as a tab:

    • Select existing teams – Select this option and select the desired teams from the teams table.

    • Create a team – Select this option and complete the following information:

      • Team Name – Enter a name for the team.

      • Team Owners – Enter the user name and select the desired user from the suggestion list. You can add multiple users as team owners.

      • Team Members – Enter the user name and select the desired user from the suggestion list. You can add multiple users as team members.

  2. Click Next to proceed to the next step if you choose to select existing teams, or click Save and Next to proceed to the next step if you choose to create a team.

  3. In the Data Storage step, you can use the selected team site or select an existing site to store data for the tab.

    • Use the selected team site – If you selected existing teams in the above steps, choose this option to use the selected team sites for the data storage of the tabs. If you created a team in the above steps, choose this option to use the team site that was created automatically with the team for data storage of the tab. If you are creating a new site, select either English or Japanese as the site language.

      If you are deploying an app built by Teams app builder, complete the following settings:

      • Language – Select either English or Japanese as the site language.

      • Deployment option – Select one of the following deployment options:

        • Deploy to an automatically created page – The system will automatically create a page for app deployment, using the app name as the page title. If a page with the same title already exists, a suffix will be added to the new page title to prevent conflicts.

        • Deploy to a specific page – Select this option to deploy the app to a specific page by entering the desired page title.

    • Select an existing site – Select this option and choose the desired site collection from the site collections table.

      If you are deploying an app built by Teams app builder, follow the steps below:

      1. Click Select a site. The Select a site window appears.

      2. Select a site and click Save.

      3. Select a deployment option.

        • Deploy to an automatically created page – The system will automatically create a page for app deployment, using the app name as the page title. If a page with the same title already exists, a suffix will be added to the new page title to prevent conflicts.

        • Deploy to a specific page – Select this option to deploy the app to a specific page by entering the desired page title.

  4. Click Deploy to deploy the template as a tab.

Template status.

On the Template Gallery page, you will find either the Deployed icon or the Not Deployed icon on each template. These two icons indicate whether the template has already been deployed to Microsoft Teams or SharePoint sites.

If a template has been deployed, the Deployed icon will be displayed on the template. The number of teams or site collections that are using the template is displayed and clickable. Click the link to view the teams or site collections that are using the template.

There are four tabs to indicate the template deployment status:

  • Not Deployed – Displays the site collections in the tenant that do not use any AvePoint Portal Manager templates. You can search and select multiple site collections and then click Deploy to deploy the current template to the selected site collections.

  • Deploying – Displays the teams or site collections to which the selected template is currently being deployed. The progress bar shows how much of the deployment is completed. If the deployment fails, click View Details to view the reason for the failure and then click Retry to redeploy the template.

  • Deployed – Displays the teams or site collections where the selected template has been deployed. Click the site collection URL to navigate to the SharePoint site collection to manage the intranet portal site directly in SharePoint. For more information on configuring your intranet portal site in SharePoint, refer to Configure the Intranet Portal Site in SharePoint.

    To undeploy a template together with the web parts on it, select the site collection and then click Undeploy.

    NOTE
    • Only Administrators can undeploy templates.

    • After a template is undeployed, the default data sources of the web parts on the template still exist in the site collection.

  • Undeploying – Displays the teams or site collections whose templates are being undeployed.
