    Run the First Backup Job for Your Organization/Environment

    To enable the backup service and run the first backup job for a Dynamics 365 organization or Power Platform environment, click the Backup page on the left, and then find the organization or environment that you would like to back up.

    For details on backing up the organizations/environments, refer to the section below.

    NOTE

    You may use Plug-ins in Dynamics 365 to extend business processes. Backing up or restoring records may automatically trigger some plug-ins related to the records in Dynamics 365. For the available messages that support the execution of Plug-ins, refer to Supported messages and entities for plug-ins.

    For example,

    • The backup and restore job may trigger the RetrieveMultiple message.

    • The restore job may trigger the plug-ins that use the following messages, such as Create, Update, SetState, Retrieve, etc.

    Follow the steps below to back up the organizations or environments:

    1. On Backup page, find the organization/environment tile that you want to protect.

    2. Click the Configure backup settings link on the tile. The Configure backup settings panel appears.

    3. Turn on the switch to enable the backup service for this organization/environment.

    4. In the Backup scope tab, select to include all entities for backup or only include the records in specific entities for backup.

      • All entities – If you want to back up all entities, select this option.

      • Include entities – If you want to back up the records in specific entities, select this option. All of the entities in this organization/environment will be loaded. You can perform the following on the entity table:

        • The last refreshed time is displayed. You can click the Refresh ( The Refresh button. ) button to refresh the data.

        • To search the entities that you want to back up, you can enter keywords of the entity name in the Search box, and then click the Search ( The Search button. ) button or press Enter on the keyboard to display the search results.

        • Select the entities that you want to back up. You can select the Only show selected entities option to display the entities that you have selected.

    5. Turn on the Back up audit data switch if you want to include the audit data for the entities in the backup scope.

      NOTE

      The Audit data backup is a separate feature that you can choose to enable for your Cloud Backup for Dynamics 365 subscription. If your subscription supports audit data backup, the Back up audit data option will be available.

      The Audit data backup will capture the audit logs from your first backup onwards, empowering you with the capability to revert the records back to the state before a certain event during our backup period. Note that the entities for which you want to back up the audit data must have audit settings enabled. If the Back up audit data switch is turned on, a separate set of the backup jobs will run for the daily backup of audit data. The backup frequency of the audit data backup jobs can be set up to twice a day, and you can define the start time for the backup jobs.

      Due to a known issue on the query statements used by backup jobs, whereby the data generated within a close timeframe that is not committed to the database may not be included in the backup, we applied a ten-minute delay on the backup job to avoid any data loss. For example, if record A was last modified at 1:05 PM, record B was last modified at 1:12 PM, and a backup job started at 1:15 PM, record A will be backed up, but record B will not.

    6. Go to the Frequency tab to configure the schedule for your backups. If you have turned on the Back up audit data switch, you can also configure the backup frequency for the audit data backup jobs. The Record backup can run a maximum of four jobs a day and the Audit data backup can be set to twice a day at most. Additionally, you can define the start time for the backup jobs.

    7. Click Save to save the backup settings and run the first backup job for this organization/environment. The backup service schedule has been started. The next automatic backup job will start after six hours.
