Manage My Settings

Use My Settings to view and update your account information as well as the system language of your AvePoint Cloud Management interface. To edit My Settings, click the username in the upper-right corner and then select My Settings. In the My Settings window, click Edit on the ribbon. You can update the following information:

  • Edit Information – A description about the currently logged-in user.

  • E-mail Address – The e-mail address that you want to receive any account-related notification e-mails.

  • Language Preference – The system language for your AvePoint Cloud Management interface, including English, Japanese, and French.

Click OK on the ribbon to save your configurations, or click Cancel to exit without saving your changes.

To change the password of your account, go to the My Profile page in AvePoint Online Services. For details, refer to the Manage Your Profile Information.

Scan Microsoft 365 Objects

To use AvePoint Cloud Management Administrator to manage your Microsoft 365 objects, including SharePoint Online site collections, OneDrive sites, and Microsoft 365 group team sites, the objects must be scanned to specific containers.

From January 21, 2018, the ability to scan and add Microsoft 365 objects via AvePoint Cloud Management was moved to Auto Discovery located in AvePoint Online Services. If you want to scan and add Microsoft 365 objects, navigate to AvePoint Online Services > Auto Discovery and configure scan profiles. For details, refer to Auto Discovery.

For Microsoft 365 group team sites, some features in AvePoint Cloud Management Administrator are not supported. For details about the supported and unsupported functionalities for Microsoft 365 group team site data, refer to Supported and Unsupported Functionalities.

NOTE

Currently, before running an Administrator job, the Microsoft 365 users used to register the SharePoint Online sites, OneDrive sites, and/or Microsoft 365 group team sites will be automatically granted the Site Administrator permission. You can remove the Microsoft 365 users from the Site Administrator group manually after the job is finished, but the Site Administrator permission will still be granted to them when running a job the next time.

Required Permissions

The objects that are managed and reported in AvePoint Cloud Management Administrator must be scanned through the Auto Discovery in AvePoint Online Services. After the objects are scanned, the users who have permission to use AvePoint Cloud Management Administrator can fully use the functionalities to manage or report the objects.

Refer to the Required Permissions section in Cloud Management User Guide for the full list of permission requirements to ensures the functionalities of each AvePoint Cloud Management module.

FAQ

What If Your SharePoint Domain Name Has been Changed?

It is now possible to change the SharePoint domain name for your organization in Microsoft 365 as introduced in this Microsoft article: Change your SharePoint domain name. This change will affect SharePoint sites, Microsoft 365 Group team sites, and OneDrive sites.

If your Auto Discovery scan profile has no schedule configured and the scan job is manually run, you will need to manually run a new scan job after your SharePoint domain name is changed. The new scan job will obtain the new URLs of SharePoint sites, Microsoft 365 Group team sites, and OneDrive sites, and then synchronize the new URLs to Cloud Management. The synchronization time varies with the data size. It can take five minutes or up to one hour to finish the synchronization.

If your Auto Discovery scan profile uses a domain name in the scan rule for Microsoft 365 Groups to scan the corresponding group team sites, you will need to update the domain name in the scan rule.

The domain change will affect your configurations and data in Cloud Management. Refer to the sections below for the details.

Reassign standard users’ permissions to objects in Account Manager

In Control Panel > Account Manager, plans/profiles are assigned to standard users so they can manage the corresponding plans/profiles, including all objects or specific objects in the plans/profiles. After the new URLs of SharePoint sites, Microsoft 365 Group team sites, and OneDrive sites are synchronized to Cloud Management, you need to reassign standard users’ permissions to the objects.

Reselect the objects in your plans/profiles

Your previously configured plans/profiles contain SharePoint sites/Microsoft 365 Group team sites/OneDrive sites or the objects within the sites. After the new URLs of the objects are synchronized to Cloud Management, you need to edit the plans/profiles, refresh the data tree, and then reselect the objects.

After saving changes to the plans/profiles, you can manually run new jobs. If the plans/profiles have the schedule configured, the updates will take effect in the next scheduled job.

What If Your Tenant Still Uses a Service Account with MFA Enabled?

Microsoft is discouraging the use of basic authentication and is deprecating its usage. Microsoft has already disabled its use with Exchange Online. Cloud Management Administrator Module is migrating away from legacy basic authentication support and strongly recommend you switch to using conditional access policies.

When your tenant uses the service account authentication method to scan objects in AvePoint Online Services Auto Discovery, Cloud Management Administrator Module uses the service account to run jobs. If the service account has MFA enabled, the following features will not work smoothly.

  • Policy Enforcer

    • The Include the Active Directory group members feature in the Site Collection Administrator Restriction and User/Group Restriction rules

    • Email notification – Cloud Management cannot retrieve the recipient’s preferred language set in Microsoft 365. The email content will be in English.

  • Security

    • Search for external users via the people picker

    • Include members of Active Directory groups in the search results

    • Deactivated account cleaner
