Export License Report

When you have the View and export license report permission, you can export two types of reports: the license report and the PSTN cost report. The license report includes the license summary and licensed user details. The PSTN cost report includes the detailed calling activity and cost of each tenant, with Tenant name and Tenant domain columns to quickly filter PSTN cost details under each tenant.

Note the following:

- The maximum number of records in one sheet is 10,000. When there are more than 10,000 records exported, additional sheets will be added. If you need to include more records in one sheet, contact AvePoint Technical Support for assistance. - From September 2021, user-level information contained in Microsoft 365 reports in the Admin center is pseudonymized by default. You need to deselect **Display concealed user, group, and site names in allreport** in **Microsoft 365 admin center > Settings > Org settings > Reports**, if you want to export the following mailbox related columns: - Mailbox size (MB) - Mailbox warning quota (MB) - Mailbox prohibit send quota (MB) - Mailbox Prohibit Send/Receive quota (MB)

You can choose one of the following methods to export ad-hoc reports to a local path or set a schedule to export reports to a SharePoint library.

Export a Report to a Local Path

To generate ad-hoc report export job and then download the report to a local path, follow the steps below:

  1. In License report, click Export now.

  2. Select the report you want to export and configure the report columns and content to export. Refer to the table below for detailed information.

  1. Click Export. A job will start to run the report generation job. To download the generated report, go to Job monitor.

  2. Hover your mouse over the ad-hoc report generation job and click Download exported report (Icon: Download exported report.). The report file will be downloaded to the local device. For more details of Job monitor, refer to Job Monitor.

Export a Report to a SharePoint Library or OneDrive on Schedule

You can add an export schedule to export the report to a SharePoint library on schedule.

  1. In License report, click Manage export schedules.

  2. Click Add a schedule.

  3. On the Add a schedule page, complete the following settings:

    • Report type – Select from the following report types:

      • Subscription report

      • User license report

      • PSTN cost report

      • Group licenses report

    For the configurations and content that can be managed for each type of report, refer to Export License Report.

    • Schedule name – Enter a name for the schedule.

    • Tenants – Select one or multiple tenants to retrieve user container groups within the tenants.

    • Export start time – Select Export now to export the report to the specified library right away or select a specific time to export the report.

    • Export interval – Choose the export interval from Daily, Monthly, or Yearly.

    • Export location – If you are signing into Cense with Microsoft, when adding the schedule, you can select the export location and decide whether to export the report to a SharePoint library or to OneDrive.

      • If Export to OneDrive is selected, after saving the schedule, a Cense reports folder will be created in the OneDrive of the signed in Microsoft account and reports will be exported there.

      • If Export to a SharePoint library is selected, you can specify the URL of the SharePoint library in the following step.

    • Export to a SharePoint library – Enter a SharePoint library URL. The report will be exported to the library.

      *Note: If your SharePoint Online site domain has been changed, you need to update your SharePoint library address in the export schedule.

    • Authentication method – Select one of the following methods to authenticate the AvePoint Cense service’s access to your SharePoint library.

      • Microsoft 365 app profile

      • Custom Azure app profile

      • Service account profile

      • Cense app profile

      Click Validate to check if the authentication method is valid before you save the schedule.

  4. Click Save to save your configurations.

Note the following:

- You can only view and edit your own schedule if you are a standard user. Service Administrator and Application Administrator added in AvePoint Online Services and view and edit all schedules. - Due to , the data retrieval method for Exchange-related columns in the report has been updated to Exchange Online PowerShell v3. After the update, data for the following columns cannot be retrieved and the columns have been removed from the scheduled report: - Admin display version - Mailbox server name - User account control
