Get Started

Follow the steps below to get started with Policies for Microsoft 365:

  1. Obtain a Subscription

  2. Access AvePoint Online Services

    1. AvePoint Online Services is a central hub for various cloud services. To use Policies for Microsoft 365, you must first sign up for an AvePoint Online Services account. For details, refer to Microsoft Tenants Onboarding Process.

    2. Use your web browser to navigate to the AvePoint Online Services portal and enter your login credentials (username and password) to sign in to AvePoint Online Services. For details, refer to Microsoft Tenants Onboarding Process.

    3. To access Policies for Microsoft 365, on the AvePoint Online Services interface, find the Policies for Microsoft 365 tile and click on it.

  3. Manage User Roles

    When adding a user and granting user permissions to services in AvePoint Online Services > Management > User management, you need to designate a role for the user. Different user roles can perform different actions. For details, refer to Manage Users.

  4. Connect Microsoft 365 Tenants

    To monitor user activities and changes within your Microsoft 365 tenant, your AOS tenant owner or service administrators must connect your Microsoft 365 tenants to AvePoint Online Services. For details, refer to Connect Your Microsoft Tenant.

  5. Configure App Profiles

    AvePoint Online Services Auto Discovery now uses app profile authentication to scan and register the objects you want to monitor in Policies for Microsoft 365. Before creating an Auto discovery scan profile, you must create app profiles for the objects you want to monitor. For the supported app profiles and their required permissions, refer to App Profile Authentication.

  6. Configure Auto Discovery

    To scan the Microsoft 365 objects listed below, you need to configure scan profiles. For details, refer to Auto Discovery.

    • Microsoft 365 Groups (including group team sites)

    • Microsoft 365 users

    • Microsoft Teams (including group team sites)

    • Exchange mailboxes

    • OneDrive sites

    • Security groups and distribution lists

    • SharePoint sites

  7. Monitor Microsoft 365 Tenants

    • To gain insights into policies, rules, and violations of your Microsoft 365 tenants, refer to Dashboard.

    • To configure filters, Defined Groups, and email templates used by policies, and set up notifications for job exceptions and job summary reports, refer to Settings.

    • To create policies based on your organization’s governance for monitoring user activities and changes within your Microsoft 365 tenants, refer to Policies.

    • To find all Microsoft 365 tenants connected via AvePoint Online Services, manage policies on them, and view their violations, refer to Tenants.

    • To find all containers scanned via AvePoint Online Services, manage policies on them, and view their violations, refer to Containers.

    • To find all objects where a policy has been assigned and manage their polices, refer to Workspaces.

    • To view all detected violations of your Microsoft 365 tenants and fix them, refer to Violations Report.

Enable Report Data Collection Settings

For auditor mode rules, Policies for Microsoft 365 collects audit events in Microsoft 365 to identify out-of-policy settings. Make sure you have enabled report data collection in AvePoint Online Services > Administration > Report data collection > Data in Microsoft 365. For more information, refer to Enable Report Data Collection.

Configure Email Settings

Policies for Microsoft 365 supports sending out email notifications. You can set a sender for email notifications via AvePoint Online Services > Administration > General settings > Email settings. For more information, refer to Email Settings.

Configure Email Language

Policies for Microsoft 365 supports sending out email notifications. You can select a language preference for email notifications via AvePoint Online Services > Administration > General settings > Culture settings. For more information, refer to Culture Settings.

Currently, Policies for Microsoft 365 only supports sending email notifications in English, Japanese, French, or German. If you set a language other than these, email notifications will be sent in English.

Retrieve Audit Records

You can retrieve users’ audit records in Policies for Microsoft 365 via the web API provided by AvePoint Online Services. We are upgrading to a new API to improve user experience, stability, and integration. Visit our documentation page for more details.

Customize Items Displayed on Pages

You can customize how items are displayed on a page in the following ways:

  • Manage columns – This allows you to have only specific columns displayed. Click the Manage Columns button, select the columns to be displayed, and click Apply.

  • Sort columns – This allows you to sort the column values in an ascending/descending order.

  • Filter columns – This allows you to filter items. Select a column name, and then select the checkbox next to the item name to have items meeting that condition shown in the list.

  • Refresh page – This allows you to refresh the current page.

  • Search – This allows you to find desired items. Enter the partial or full text of an existing item in the search box, and then click the Search button. All matching items are displayed.

You can modify filters and then save your filters as a view so that you do not need to reset filters each time. You can perform the following operations to manage a view:

  • Reset – Select this option to clear your modifications and reset the view to the previously saved one.

  • Save – Select this option to save your changes to the current view.

  • Save as – Select this option and then enter a name to save the current view as a new one.

  • Set as default – Select this option to set the current view as the default one every time you open the page.

  • Rename – Select this option to rename your view.

  • Delete – Select this option to delete the current view.
