#Best Owner Configurations

The best owner configurations functionality automatically identifies and assigns the most suitable workspace owner based on configured activities, reducing manual effort and improving governance accuracy. To enable the Assign the best owner auto-fix action within the Site Owner Number Restriction rule, you must first set up best owner configurations.

Click Settings > Platform integrations on the left pane and then click Best owner configurations to enter the Best owner configurations page. There are 3 built-in configurations, and each configuration applies specific criteria to recommend the most suitable owner. Clicking a configuration name will open the configuration details panel where you can view the detailed settings. Enable these configurations to make them available for selection when you configure the auto-fix action within the Site Owner Number Restriction rule.

#Configure Inclusion and Exclusion Lists

To prioritize or exclude specific users from ownership eligibility, you can modify a configuration by defining the inclusion list (users explicitly designated as owner candidates) and the exclusion list (users permanently excluded from ownership consideration). Locate the desired configuration, click the More actions icon next to the configuration, and select Edit. Configure users in the Inclusion list or Exclusion list, and click Save.

#Initiate a Simulation

Prior to applying any best owner configuration, you may conduct a simulation to evaluate potential owner assignments based on the predefined criteria. This process identifies optimal candidates, validates configuration logic, and provides transparency into decision-making rationale. Simulations do not alter live configurations or ownership assignments. You can use this feature to validate owner suitability before assignment.

Refer to the following steps to initiate a simulation:

1. Locate the desired configuration, click the More actions icon next to the configuration, and select Simulate.

2. Complete the following settings:

   • Site type – Select a site type to scope the simulation: SharePoint site, Group site, or Team site.

   • Container – Containers within the service type selected above are listed. Select a container.

   • Site – Enter the site name and then select the desired site from the drop-down list.

   • Number of owners you want to identify – Enter a number from 1 to 100 to determine how many owner candidates the system will evaluate.

3. Click Start simulation.

4. A ranked list of eligible candidates are listed below, accompanied by decision rationale - a detailed explanation of why a candidate aligns with the configuration criteria and confidence score - a percentage reflecting the system’s certainty in the candidate’s suitability.

   The number of owners permitted by the Site Owner Number Restriction rule and the candidate’s ranking determine the final assignments. The system allocates candidates sequentially, starting from the top-ranked candidate.
