Records label for locking documents/items – Enter the retention label that will be used to lock documents, items, and stubs for compliance and retention.
Prerequisites:
Setting – The retention label must have Mark items as a record enabled.
Scope and publishing – The retention label must be published to all site collections where you intend to lock content.
Background:
Microsoft began retiring the legacy In-Place Records Management feature in April 2026. To continue meeting compliance and retention requirements, Microsoft recommends that organizations declare records by applying retention labels.
Opus has adopted Microsoft 365 retention labels with record functionality as the modern, centralized standard for locking files. This solution replaces the previous Declare as record rule action, which is no longer available in the Opus interface.
Migrating Legacy Declared Records
For records previously declared by using the legacy In‑Place Records Management system, Opus supports migration by applying a records label that locks content for compliance and retention. This process replaces the legacy declaration method. For detailed instructions, refer to the Migrate Legacy Declared Records sections under the following content sources: Teams & Groups, SharePoint Online, and OneDrive.

Session timeout – Enter a number and select a unit from the drop-down list: Minutes or Hours. The default value is 15 Minutes.
Time zone – Select the display time zone for AvePoint Opus. Select the Automatically adjust clock for daylight saving time checkbox to adjust AvePoint Opus to the correct clock if your country/region uses Daylight Saving Time.
Date format – Select the format to display the date in AvePoint Opus.
Time format – Select the format to display time in AvePoint Opus.
Email sender – By default, Opus_Team@avepointonlineservices.com is the sender of all email notifications sent from the system.
To set a Microsoft 365 account as the email sender, select Custom. Select a custom Azure app profile, and then select a Microsoft 365 account within the connected tenant. Ensure that the selected custom Azure app profile has all permissions required by AvePoint Opus. Granting only partial permissions, such as Mail.Send will cause AvePoint Opus functionalities to not work. For a detailed list of required permissions, refer to Required Permissions.
