Cloud Governance

What’s New in the Modern Cloud Governance Admin Center?

  • The following dynamic service updates are available in Management > Dynamic services:

    • Invite guest user service updates:

      • A Welcome message is now displayed by default for the service.

      • When bulk guest user invitations are enabled, requesters can now manually add multiple guest users in the request form.

    • Services or settings can now be added above the first section of a dynamic service form, allowing you to update your service flow without rebuilding the entire configuration.

    • The Change custom extension attributes setting is now available in the Change shared mailbox settings service, allowing business users to add, update, or remove custom attributes.

    • The Create library service now checks that you have full control or site administrator access on the parent site before creating a library.

    • A new Create on-premises shared mailbox service allows business users to create on-premises shared mailboxes via requests for this service.

    • The New storage (GB) condition is now available in the Change private channel settings and Change shared channel settings services.

    • When configuring a new branch in dynamic services, IT administrators can now copy from another branch to reuse existing configurations.

  • The following profile updates are available in Management > Profiles & templates:

    • When renewal tasks are assigned to the $Object admin, $Primary contact, or $Secondary contact role, the tasks will be automatically reassigned to the new owner if the owner is changed.

    • IT administrators can now archive private and shared channels and lock their channel sites when a team is archived through team archiving profiles.

    • Team renewal profiles now support Renew objects matching specific risk information, allowing IT administrators to assess sharing link risks based on configured sensitivity levels and exposure levels during the renewal process.

    • When configuring site collection renewal profiles, IT administrators can now prevent renewal task assignees from editing or removing permissions for default SharePoint groups at the top-level site during permission renewal, allowing only membership changes.

    • When configuring guest user renewal profiles, IT administrators can now enable bulk renewal for guest users in Advanced settings. By enabling this option, renewal tasks are combined for guest users who share the same primary and secondary contacts and have the same renewal profiles applied.

    • When configuring renewal profiles for shared mailboxes, environments, Microsoft Entra groups, Power Apps, and Power BI workspaces, IT administrators can now set lifecycle management actions to use a separate approval process from the renewal profiles.

    • The Restrict posting permissions setting is no longer available in Viva Engage community escalation profiles due to a Microsoft API limitation.

  • The following updates are available in System settings:

    • The Shared mailbox deletion skip setting is now available to prevent shared mailboxes from being permanently deleted by lifecycle management actions, which provides control over mailbox retention.

    • When site collection contact membership management is enabled in Contact membership, IT administrators can now use $AssociatedOwnerGroup, $AssociatedMemberGroup, or $AssociatedVisitorGroup role to automatically add contacts to the corresponding SharePoint group.

    • IT administrators can now specify excluded users or groups to prevent them from being automatically assigned as task assignees or contacts for tasks generated by Cloud Governance.

  • IT administrators can now activate Viva Engage communities that were previously restricted due to incomplete lifecycle tasks in Workspace report.

  • Object-specific contact roles are now unified into $Primary contact and $Secondary contact roles that can be applied across different object types to improve consistency across the platform.

  • Simulated data is now available when customizing the end user dashboard through the Dashboard settings in the MyHub admin center, enabling a clearer preview of how the dashboard will appear to users.

What’s New in the End User Portal?

  • Renewal task assignees can now renew guest users in bulk through the new MyHub interface.

  • In renewal tasks for site collections, teams, Microsoft 365 Groups, and communities, assigned contacts are now clearly identified during SharePoint permission, site admin, and sharing link renewal steps.

General Updates

  • The N/A sensitivity level has been updated to Not sensitive and No sensitivity definition applied for clarity. The N/A risk level has been updated to No risk and No sensitivity definition applied for clarity.
