Set License Unit Cost

To help users track license costs and consumption for specific user container groups in the dashboard and the license cost report, you must set a license unit cost. You can apply a single unit cost across all tenants or set a different unit cost for each tenant.

Check and Apply Retail Cost

If the subscription period and cost per user aren’t configured, the system automatically fills in the subscription’s monthly Microsoft retail price.

NOTE

For a detailed list of Microsoft subscriptions that support retail costs' auto population, refer to Appendix E - Subscriptions for Retail Cost Auto-Population.

If the populated retail cost matches your tenant's actual subscription cost, click the "√" icon to accept and apply the cost.

To reject and remove the populated cost, click the "×" icon.

Apply Same License Unit Cost for All Tenants

To apply the same license unit cost for all tenants, complete the following steps:

  1. Click Set license cost in Dashboard > License cost ranking or navigate to Billing > License unit cost.

  2. On the License unit cost page, select Apply same license unit cost for all tenants for Manage method.

  3. In the Apply same license unit cost for all tenants table, all subscriptions are listed. You can click Set license unit cost to set a general license unit cost for each subscription or hover the mouse over a subscription and click Set specific license unit cost to set the license unit cost for specific years.

    • Set a general license unit cost – Select Monthly or Annual as the Subscription period. In the Cost per user column, select whether the license is Purchased or Free. If the license is Purchased, enter the unit cost. Click Save to save the license unit cost.

    • Set a specific license unit cost – On the Set specific license unit cost page, select Monthly or Annual as the Subscription period.

      • If you select Monthly, set the unit cost for each month of the current year. You can click Add a year to set license unit cost for future years.

      • If you select Annual, set the unit cost for the current year. You can click Add a year to set license unit cost for future years.

  4. When you finish the configurations, click Save.

Apply Individual License Unit Cost for Each Tenant

To apply individual license unit cost for each tenant, complete the following steps:

  1. On the License unit cost page, select Apply individual license unit cost for each tenant for Manage method.

  2. In the Apply individual license unit cost for each tenant table, all tenants are listed. You can click Set license unit cost to set individual license unit cost for each tenant on one page or hover the mouse over a tenant and click Set license unit cost to set the license unit cost for one specific tenant.

    When you are setting license unit cost for tenants, you can also hover your mouse over a subscription and click Set specific license unit cost. On the Set specific license unit cost page, you can select Monthly or Annual as the Subscription period.

  3. When you finish the configurations, click Save.
