As an enterprise application contact or owner, you are responsible for assessing and reviewing your enterprise application.
The enterprise application renewal tasks are available in the new MyHub experience only.
You can access the enterprise application renewal tasks in Tasks and to-dos within the new MyHub. Click Start task in the task row to go to the Renew enterprise application page and follow the instructions below to complete the renewal process.
Before starting the renewal process, you may see one or both of the following intake questions based on your IT administrator's configurations:
Are you responsible for this enterprise application?
Yes – You will proceed to the next intake question, or the renewal process will begin.
No – The I am not responsible for this task window appears and you may see one of the following contents based on your IT administrator's configuration.
If your organization allows you to reassign or skip the task:
To reassign the task, choose I'm not the correct renewal assignee, but I know who is now responsible for this renewal and specify the new assignee.
To skip the task, choose I'm not the correct renewal assignee, and I don't know who is responsible for this renewal.
Click OK to proceed.
If your IT administrator only allows you to skip the task, click OK in the confirmation window to skip the task.
If your IT administrator only allows you to reassign the task, specify the new assignee and click OK.
Cancel – This will exit the task without changes.
Do you still need this enterprise application?
Yes – The renewal process will begin.
No – You may see one or more lifecycle management options based on your IT administrator’s configurations:
I want to deactivate this enterprise application
I want to delete this enterprise application.
Choose a lifecycle action for the enterprise application if you no longer require it and click OK.
If only one lifecycle action is allowed by your IT administrator, you’ll be brought to confirm the action.
Cancel – This will exit the task without changes.
While answering the intake questions, you can view the following enterprise application information:
Primary contact
Secondary contact (if any)
Last sign-in
Owners
Granted by
Matched risky rules
Certificate expiry status
For additional details, click View details in the upper-right corner to open the View details window.
Complete the following steps to renew the enterprise application. Note that the steps below list all renewal options provided by AvePoint Cloud Governance. The information available to you for review and update is defined by your IT administrator.
Contact – Review the current primary and/or secondary enterprise application contact to check whether they are still correct. You can perform the following actions on the enterprise application contact if necessary. Note that the primary contact and secondary contact cannot be the same person.
Edit primary contact – To update the primary contact, complete the following steps:
Click Change contact.
In the Update primary contact panel, enter the name of a user to be the primary contact, and then click Save to save your configurations.
You can also choose a primary contact from the existing owners, and the owner you select will be the new primary contact.
Edit secondary contact – To edit the secondary contact, complete the following steps:
Click Change contact.
In the Update secondary contact panel, enter the name of a user to be the secondary contact, and then click Save to save your configurations.
You can also choose a secondary contact from the existing owners, and the owner you select will be the new secondary contact.
Add primary contact – To add a primary contact, complete the following steps:
Click Add primary contact.
In the Add primary contact panel, enter the name of a user to be the primary contact, and then click Save to save your configurations.
You can also choose a primary contact from the existing owners, and the owner you select will be the primary contact.
Add secondary contact – To add a secondary contact, complete the following steps:
Click Add secondary contact.
In the Add secondary contact panel, enter the name of a user to be the secondary contact, and then click Save to save your configurations.
You can also choose a secondary contact from the existing owners, and the owner you select will be the secondary contact.
Remove secondary contact – To remove the secondary contact, click the remove button in the upper-right corner.
If you want to clear all the contact changes that you made, click Reset all.
When you finish, click Continue to proceed.
Ownership – Review the enterprise application ownership. If necessary, you can perform the following actions:
Add owners – To add owners of the enterprise application, complete the following steps:
Click Add owners on the ribbon.
In the Add owners panel, enter the names of users to add as owners.
Click Add to save your configurations.
Remove owners – Select one or more owners and click Remove on the ribbon, or you can click the Remove icon in the Action column for an owner. You can also click the Reset icon in the Action column for an owner to revert the owner.
If you want to clear all the ownership changes that you made, click Reset all on the ribbon.
When you finish, click Continue.
Permissions – Review the admin consent and user consent permissions granted to the enterprise application.
To revoke any permissions granted to the enterprise application, select one or more permissions and click Revoke permission on the ribbon, or you can click the Revoke permission icon in the Action column for a permission. You can also click the Reset icon in the Action column for a permission to reset the permission.
If you want to clear all the permission changes that you made, click Reset all on the ribbon.
When you finish, click Continue to proceed.
Users & Groups – Review the users, groups, and service principals that have access to the enterprise application.
For users, you can perform the following actions if necessary:
Add users – To add users of the enterprise application, complete the following steps:
Click Add users on the ribbon.
In the Add users panel, enter the names of users to add.
Click Add to save your configurations.
Remove access – Remove the user's access to the enterprise application. Select one or more users and click Remove access on the ribbon, or you can click the Remove access icon in the Action column for a user. You can also click the Reset icon in the Action column for a user to reset the access.
Change role assigned – Click the down arrow button in the Role Assigned column for a user and select roles from the list.
For groups, you can perform the following actions if necessary:
Add groups – To add groups of the enterprise application, complete the following steps:
Click Add groups on the ribbon.
In the Add groups panel, enter the names of groups to add.
Click Add to save your configurations.
View group members – To view the members of a group, click the View group members icon in the Action column for a group. The Group members panel will display the members of the group.
Remove access – Remove the group's access to the enterprise application. Select one or more groups and click Remove access on the ribbon, or you can click the Remove access icon in the Action column for a group. You can also click the Reset icon in the Action column for a group to reset the access.
Change role assigned – Click the down arrow button in the Role Assigned column for a group and select roles from the list.
For service principals, you can perform the following actions if necessary:
Remove access – Remove the service principal's access to the enterprise application. Select one or more service principals and click Remove access on the ribbon, or you can click the Remove access icon in the Action column for a service principal. You can also click the Reset icon in the Action column for a service principal to reset the access.
Change role assigned – Click the down arrow button in the Role Assigned column for a service principal and select roles from the list.
If you want to clear all the changes that you made to users and groups, click Reset all on the ribbon.
When you finish, click Continue.
Metadata – Review the current metadata values to check if they are still correct. If necessary, you can update the metadata values.
When you finish, click Submit to submit your renewal changes.
