What You Can Do with AvePoint Cloud Index

- Access multiple file systems or Azure File Storage repositories in one common place in a SharePoint Online site or in a Microsoft Team. - Upload files to the file system or Azure File Storage repositories via the Upload button or the Drag-and-Drop method. - Download files from the file system or Azure File Storage repositories via HTTP or UNC path link. - View a file, edit a file, rename a file, or remove files in the file system or Azure File Storage repositories. - Copy the link of files or the UNC path of files for further use. - Search for files through the file system or Azure File Storage repositories.

Create a Folder

You can create a folder in your connection at any level, just as you can in your file system.

Follow the steps below to create a folder.

  1. Locate the place where you want to create a folder and click Create a Folder.

  2. In the Create a New Folder dialog box, enter a folder name in the Folder Name text box and click Create.

Upload Files

You can upload files to a certain folder either by the Upload button or the Drag-and-Drop method.

*Note: If your administrator enabled the Allow users to upload files from their OneDrives setting, you can click Upload from OneDrive to upload files from your own OneDrive to the following:

- Cloud Index app part (SharePoint Online) - Cloud Index app (Microsoft Teams)

Upload Button

Follow the steps below to upload files via the Upload button.

  1. Locate the place where you want to upload files, and click Upload.

  2. In the Open pop-up window, select the files that you want to upload and click Open to upload the files. During the upload, the upload progress and upload status will display on the right corner above the search box.

  3. If a file with the same name as the uploading file already exists in the folder, a Conflict Resolution window will appear and guide you through handling the conflicts.

    • Remember my choice for all conflicts – Remember your conflict resolution for all files that have conflicts in this upload. Select this checkbox, select Overwrite or Skip as the resolution, and all the files with conflicts in this upload will be processed at once. Otherwise, deselect this checkbox, and resolve the conflicting files individually.

    • Overwrite – Overwrite the existing file and keep the uploaded file in the folder.

    • Skip – Ignore the upload and keep the existing file in the folder.

Drag-and-Drop

Follow the steps below to upload files via the Drag-and-Drop method.

  1. Locate the place where you want to upload the files in AvePoint Cloud Index.

  2. Open your local folder where the files being uploaded reside, and select the files. Drag them to the location where you want to upload them, and drop them. Then, the files will be uploaded.

Upload from OneDrive

Follow the steps below to upload a file from OneDrive.

  1. Click the Upload from OneDrive button.

  2. The pop-up window appears. Enter the relative path of the file you want to upload from OneDrive. If you upload a file from the root folder of OneDrive, enter the file name with the extension. Otherwise, enter the relative path (e.g., folder/file.docx), including folder structure and the file name with extension.

  3. Click Upload.

Download Files

You can download files either by the Download button or by the path link.

*Note: If your administrator enabled the Download files to users’ own OneDrives setting, the Download feature will be unavailable when users access Cloud Index from AvePoint Online Services. In the Cloud Index app part (SharePoint Online) and Cloud Index app (Microsoft Teams), users can download files to their own OneDrives (root folder).

Download Button (Batch Download)

  1. Locate the place where you want to download files.

  2. Select one or more files, and the Download button appears.

    *Note: The Download button will only appear when files are selected.

  3. Click Download.

    *Note: If your browser prompts you, choose Save or Save As and browse to the location where you want to save the download. Some browsers just start saving right away to a Downloads folder on your computer.

    *Note: If you select multiple files or folders and then select Download, your browser will start downloading a Download.zip file containing all the files you selected.

Download Button in Show Actions List (Download a Single File)

  1. Navigate to the location where you want to download files.

  2. Select one or more files, and the Download button appears.

    *Note: The Download button will only appear when files are selected.

  3. Click Download.

    *Note: If your browser prompts you, choose Save or Save As and browse to the location where you want to save the download. Some browsers will start saving immediately to the Downloads folder on your computer.

    *Note: If you select multiple files or folders and then select Download, your browser will start downloading a Download.zip file containing all the files you selected.

Rename a File

You can follow the steps below to rename a file.

  1. Locate the place where you want to rename a file.

  2. Hover your mouse over the file name, and the Show actions (ellipsis) icon appears at the end of the File Name column.

  3. Click the Show actions icon and select Rename from the action list.

  4. A pop-up window appears. Enter a new name for the file.

  5. Click Save.

View a File

You can view a file either by the View button or by the file name link. Only Word, PowerPoint, Excel, and PDF files are supported. The following table lists the detailed supported file extensions.

Note the following:

- For Word, PowerPoint, and Excel files, Cloud Index uses the WOPI protocol to integrate with Office Online cloud service and follows the file sizes supported by Office Online. - For PDF files, Cloud Index uses browsers to open PDF files in a new tab.

View Button

Follow the steps below to view a file via the View button. This View button only appears for the supported file types that can be viewed.

  1. Locate the place where you want to view a file.

  2. Hover your mouse over the file name, and the Show actions (ellipsis) icon appears at the end of the File Name column.

  3. Click the Show actions icon and select View from the action list.

    *Note: The View feature will open the file in a new window; however, some browsers may block pop-up windows by default. Follow your browser’s prompts to allow the pop-up from AvePoint Cloud Index.

View a File via File Name Link

Follow the steps below to view a file via the file name link.

  1. Locate the file that you want to view.

  2. Click the file name link in the File Name column. The supported file types can be opened and viewed directly, while the unsupported file types will be downloaded as a local copy, and you can view them locally.

    *Note: The View feature will open the file in a new window; however, some browsers may block pop-up windows by default. Follow your browser’s prompts to allow the pop-up from AvePoint Cloud Index.

Edit a File

You can edit a file by the Edit button. Only Word, PowerPoint, and Excel files are supported. The following table lists the detailed supported file extensions.

*Note: Cloud Index uses WOPI protocol to integrate with Office Online cloud service, so Cloud Index follows the file sizes supported by Office Online.

Follow the steps below to edit a file. The Edit button only appears for the supported file types that can be edited.

  1. Locate the place where you want to edit a file.

  2. Hover your mouse over the file name, and the Show actions (ellipsis) icon appears at the end of the File Name column

  3. Click the Show actions icon and select Edit from the action list.

    *Note: The Edit feature will open the file in a new window; however, some browsers may block pop-up windows by default. Follow your browser’s prompts to allow the pop-up from AvePoint Cloud Index.

Delete Files and/or Folders

You can delete files and/or folders in your connection that you no longer need, such as old content or obsolete folders.

Delete Button (Batch Delete)

  1. Locate the place where you want to delete files and/or folders.

  2. Select one or more files and/or folders, and the Delete button appears.

    *Note: The Delete button will only appear when files are selected.

  3. Click Delete.

  4. In the confirmation dialog, click Delete.

Delete Button (Delete a Single File)

  1. Locate the place where you want to delete a file or folder.

  2. Hover your mouse over the file/folder name, and the Show actions (ellipsis) icon appears at the end of the File Name column.

  3. Click the Show actions icon and select Delete from the action list.

  4. In the confirmation dialog, click Delete.

You can copy the link of a file or a folder and then paste it into a text message or on a website.

Follow the steps below to copy a link.

*Note: The Copy Link feature is not available in the AvePoint Cloud Index interface that is accessed through AvePoint Online Services.

  1. Locate the place where you want to copy the link of a file or a folder.

  2. Hover your mouse over the file/folder name, and the Show actions (ellipsis) icon appears at the end of the File Name column.

  3. Click the Show actions icon and select Copy Link from the action list.

  4. Click Copy Link. A Copy Link window appears.

  5. Click Copy. Then, the window disappears, and you can paste the copied link of the file/folder as a text message in emails or a direct link in your browser. When you access a file via the copied link, you need to enter your credentials for permission validation first.

    *Note: The copied link will be only accessible for people who already have access to the folder/file.

*Note: When you open a copied link of a file, the open behavior differs due to the file types. The supported file types can be opened and viewed directly, while the unsupported file types cannot be opened, and you can view the file by downloading it as a local copy or downloading it to your OneDrive. Refer to the table in the View a File section for the supported file types and extensions.

Copy UNC Path

You can copy the UNC path of a file or a folder and then paste it into File Explorer or Internet Explorer to access it.

*Note: The visibility of the Copy UNC Path button can be configured in the configuration file. Therefore, whether you can see the Copy UNC Path button is determined by your IT administrator’s configuration.

  1. Locate the place where you want to copy the link of a file or a folder.

  2. Hover your mouse over the file/folder name, and the Show actions (ellipsis) icon appears at the end of the File Name column.

  3. Click the Show actions icon and select Copy UNC Path from the action list.

  4. Click Copy UNC Path. A Copy UNC Path window appears.

  5. Click Copy. Then, the window disappears, and you can paste the copied link of the file/folder in Windows Explorer or Internet Explorer to access the file directly.

    *Note: If the machine where you access the file/folder via the copied UNC path is not in the same domain as the file system location, you must build a connection between the machine and the file system location in order to access the file/folder properly:

    1. On the machine where you want to access the file/folder, navigate to Start > Run.

    2. Enter the UNC path of the connection (for example: ) in the text box and click OK. The Windows Security window appears. You can identify the UNC path of the connection in the copied UNC path.

    3. Enter the credentials to connect to the storage path. Then, you can access the file/folder with the copied UNC path in Windows Explorer or Internet Explorer.

You can search for documents in your connections by the search box. The search integrates with Windows Search Service, which makes the search much faster.

Follow the steps below to perform a search.

  1. Locate the place where you want to perform the search.

  2. The search box resides in the upper-right of the display table. Enter the keywords in the search box. Only filename search is supported.

  3. Click the magnifying glass button or press Enter key on your keyboard to start the search.

  4. All content whose name matches the keywords in the current directory will be displayed.

Set Page Settings

You can adjust the number of files displayed per page, and go to different pages via the page setting actions. The page setting actions reside in the lower right corner of the page.

  1. Show Rows – Select a number from the Show Rows drop-down list to change the number of files that can be displayed per page. By default, the number is 10.

  2. Go to – Enter a page number in the Go to text box and press the Enter key on your keyboard to go to the page directly.

  3. First Page – Click the First Page button to go to the first page directly.

  4. Previous – Click the Previous button to go to the previous page of the current page.

  5. Page Number – Click the page number directly to go to the corresponding page.

  6. Next – Click the Next button to go to the next page of the current page.

  7. Last Page – Click the Last Page button to go to the last page directly.

Configure Column Settings (Teams Only)

The Cloud Index app allows team members to customize their own column display settings. The customized settings will be effective only for the specific team member who customizes it. Follow the steps below to change the column settings.

  1. In your Cloud Index app, click Column Settings in the upper-right corner of this app.

  2. The Column Settings window appears. You can choose whether or not to inherit the global column settings.

    • Yes – Use the global column settings that the IT administrator configured in AvePoint Cloud Index > General Settings.

    • No – Stop inheriting from the global column settings and configure your own column settings for this app part. Select the checkboxes of the columns that you want to show, and select a number from the drop-down list next to the checkbox to adjust the display order of the columns.

  3. Click Save to save your settings, or click Cancel to discard your settings without saving any changes.
